The University of Arkansas is seeking an enthusiastic Event and Special Projects Coordinator to join our team and bring innovative ideas to life. In this role, you will have the opportunity to collaborate with various departments and organizations to plan and execute a wide range of campus events and special projects.   1. Plan and execute a variety of events and special projects for the University of Arkansas, including but not limited to campus events, conferences, workshops, and ceremonies.
  2. Collaborate with various departments and organizations to ensure successful coordination and execution of events and projects.
  3. Develop and maintain event budgets, timelines, and project plans to ensure all events and projects are completed within established parameters.
  4. Utilize creative thinking and innovative ideas to enhance the quality and impact of events and projects.
  5. Coordinate all logistical aspects of events and projects, including venue selection, catering, audiovisual equipment, and transportation.
  6. Communicate and negotiate with vendors and suppliers to secure the best rates and services for events and projects.
  7. Work closely with marketing and communications teams to promote events and projects through various channels.
  8. Ensure all necessary permits, licenses, and insurance are acquired for events and projects.
  9. Oversee event staff and volunteers, providing direction and support as needed.
  10. Conduct post-event evaluations and provide recommendations for future events and projects.
  11. Maintain accurate records and documentation related to events and projects, including budgets, contracts, and attendance lists.
  12. Stay updated on industry trends, best practices, and emerging technologies related to event planning.
  13. Uphold University policies and procedures, as well as state and federal regulations, in all event and project planning activities.
  14. Handle any issues or challenges that may arise during events and projects in a calm and efficient manner.
  15. Represent the University of Arkansas in a professional and positive manner at all times.

Job Qualifications
  • Bachelor's Degree In Event Planning, Hospitality Management, Marketing, Or A Related Field.

  • Minimum Of 2-3 Years Of Experience In Event Planning, Preferably In A Higher Education Setting.

  • Strong Organizational And Project Management Skills, With The Ability To Handle Multiple Tasks And Prioritize Effectively.

  • Excellent Communication And Interpersonal Skills, With The Ability To Collaborate With A Variety Of Stakeholders, Including University Staff, Vendors, And Community Partners.

  • Proficiency In Event Planning Software, Such As Eventbrite Or Cvent, And Experience With Budget Management And Contract Negotiation.
