
Operations & Conference Coordinator

- Plan and coordinate all aspects of conferences and events hosted by Duke University, including logistics, scheduling, and vendor management.
- Collaborate with internal departments and external partners to ensure seamless execution of events.
- Manage event budgets and expenses, ensuring cost-effective solutions are utilized.
- Develop and maintain relationships with vendors and negotiate contracts to secure the best rates and services.
- Create and distribute event materials, including invitations, agendas, and programs.
- Provide exceptional customer service to event attendees, addressing any inquiries or concerns promptly and professionally.
- Maintain accurate and up-to-date event records, including attendee lists, registration information, and post-event evaluations.
- Coordinate with facilities and maintenance staff to ensure event spaces are set up and maintained according to event specifications.
- Manage event registration and check-in processes, ensuring a smooth and efficient experience for attendees.
- Oversee event staff and volunteers, delegating tasks and providing guidance as needed.
- Identify and troubleshoot any issues or challenges that may arise during events, implementing solutions in a timely manner.
- Assist with marketing and promotion of events through various channels, such as social media and email campaigns.
- Stay updated on industry trends and best practices in event planning and make recommendations for improvement.
- Provide administrative support for the Operations and Conference department, including scheduling meetings, maintaining files, and handling correspondence.
Bachelor's Degree In Hospitality Management, Event Planning, Or A Related Field.
Previous Experience In Event Planning And Coordination, Preferably In A Higher Education Setting.
Strong Organizational And Multitasking Skills, With The Ability To Manage Multiple Events Simultaneously.
Excellent Communication And Interpersonal Skills, With The Ability To Work With Diverse Groups Of People.
Knowledge Of Event Planning Software And Tools, Such As Ems Or Cvent, And Proficiency In Microsoft Office And Google Suite.
