Job Description

As the Events Coordinator, you will be responsible for planning, coordinating, and executing a wide range of events, from college fairs to graduation ceremonies. If you have a strong background in event planning, excellent organizational skills, and a commitment to delivering exceptional events, we want to hear from you!

  1. Plan and coordinate a variety of events, including but not limited to college fairs, graduation ceremonies, and networking events.
  2. Develop and maintain event budgets, ensuring all events are executed within allocated funds.
  3. Collaborate with various departments and stakeholders to ensure events align with the university's mission and goals.
  4. Research and negotiate with vendors to secure the best prices and services for events.
  5. Oversee event logistics, including venue selection, catering, audio-visual needs, and transportation.
  6. Create and manage event timelines to ensure all tasks are completed in a timely and efficient manner.
  7. Coordinate with marketing and communications teams to promote events to the university community.
  8. Manage event registration and attendee lists, ensuring accurate and up-to-date information.
  9. Conduct post-event evaluations to gather feedback and identify areas for improvement.
  10. Establish and maintain relationships with external partners, such as local businesses and community organizations, to enhance the university's event offerings.
  11. Stay updated on industry trends and best practices to continually improve the quality of events.
  12. Act as a point of contact for event-related inquiries and provide exceptional customer service to all stakeholders.
  13. Uphold and enforce university policies and procedures during events.
  14. Ensure events are inclusive and accessible to all members of the university community.
  15. Maintain accurate event records and financial documentation.

Job Qualifications
  • Bachelor's Degree In Event Management, Hospitality, Or A Related Field.

  • Minimum Of 2 Years Of Experience In Event Planning And Coordination, Preferably In A University Or Large-Scale Event Setting.

  • Excellent Organizational And Time Management Skills, With The Ability To Handle Multiple Events And Tasks Simultaneously.

  • Strong Communication And Interpersonal Skills, Including The Ability To Collaborate With Diverse Stakeholders Such As University Staff, Vendors, And Community Partners.

  • Knowledge Of Event Planning Software And Technology, As Well As Budget Management And Contract Negotiation Experience.
