  1. Greet and welcome patients and visitors to the Yale New Haven Health System in a friendly and professional manner.
  2. Answer and direct phone calls to the appropriate departments or individuals.
  3. Schedule appointments and maintain accurate and up-to-date calendars for healthcare staff.
  4. Maintain patient records and ensure confidentiality of sensitive information.
  5. Utilize the electronic health record system to input and retrieve patient data.
  6. Assist with the management of electronic images and patient data in the Picture Archiving and Communication System (PACS).
  7. Collaborate with healthcare staff to ensure timely and accurate transfer of medical images.
  8. Monitor and troubleshoot any technical issues with PACS and communicate with IT support for resolution.
  9. Maintain inventory and order supplies as needed for the department.
  10. Coordinate and schedule meetings, trainings, and other events for the department.
  11. Prepare and distribute correspondence, reports, and other documents as needed.
  12. Assist with data entry and data management tasks.
  13. Perform general administrative duties such as filing, faxing, and scanning documents.
  14. Ensure compliance with all HIPAA regulations and maintain patient confidentiality at all times.
  15. Collaborate with other healthcare professionals to provide exceptional patient care and support.
  16. Attend training and educational sessions as required to maintain knowledge of current procedures and policies.
  17. Act as a liaison between patients, healthcare staff, and other departments within the healthcare system.
  18. Adhere to all safety and infection control guidelines to ensure a safe environment for patients and staff.
  19. Continuously strive to improve processes and procedures to enhance the efficiency and effectiveness of the healthcare system.
  20. Perform any other duties or tasks assigned by the supervisor.

Job Qualifications
  • Proficiency In Computer Skills, Including Microsoft Office And Electronic Medical Record Systems.

  • Excellent Organizational And Time-Management Skills, With The Ability To Prioritize Tasks And Manage Multiple Projects Simultaneously.

  • Strong Communication And Interpersonal Skills, With The Ability To Effectively Interact With Patients, Colleagues, And Healthcare Providers.

  • Knowledge Of Medical Terminology And Procedures, With The Ability To Accurately Transcribe Medical Reports And Maintain Patient Records.

  • Prior Experience In A Healthcare Setting, Preferably As A Secretary Or Administrative Assistant, With A Strong Understanding Of Hipaa Regulations And Patient Confidentiality.
