
Administrative Assistant to Institute Director and Associate Dean

- Provide administrative support to the Institute Director and Associate Dean, including managing their schedules, coordinating meetings and appointments, and handling correspondence.
- Manage departmental budgets and expenses, including tracking expenditures and preparing financial reports.
- Maintain confidential and sensitive information with discretion and professionalism.
- Prepare and edit documents, reports, and presentations.
- Coordinate and assist with departmental events and meetings, including scheduling, logistics, and catering.
- Serve as a point of contact for internal and external stakeholders, demonstrating strong communication and interpersonal skills.
- Conduct research and gather data as needed for projects and initiatives.
- Organize and maintain departmental files, records, and databases.
- Assist with the recruitment and onboarding of new staff members.
- Collaborate with other administrative assistants and team members to ensure efficient and effective operations.
- Take on additional tasks and responsibilities as assigned by the Institute Director and Associate Dean.
- Uphold the values and standards of the University of Pittsburgh while representing the department in a professional and positive manner.

Bachelor's Degree In Business Administration Or Related Field: A Strong Educational Background In Business Administration Or A Related Field Is Essential For This Role As It Demonstrates A Solid Understanding Of Administrative Principles And Practices.
Previous Administrative Experience: Candidates Should Have A Minimum Of 2-3 Years Of Experience In An Administrative Role, Preferably In A University Or Academic Setting. This Will Ensure They Have A Good Understanding Of The Unique Needs Of The Role And The Environment.
Excellent Communication Skills: As An Administrative Assistant To The Institute Director And Associate Dean, Strong Communication Skills Are Crucial. The Candidate Should Be Able To Effectively Communicate With A Variety Of Individuals, Including Faculty, Staff, Students, And External Stakeholders.
Proficiency In Office Software: The Candidate Must Be Proficient In Microsoft Office Suite, Including Word, Excel, And Powerpoint. Familiarity With Database Software And Project Management Tools Is Also Desirable.
