In this role, you will be responsible for coordinating and managing all event scheduling and space reservations on our campus.   1. Coordinate and manage all event scheduling and space reservations on campus.
  2. Work closely with various departments and organizations to understand their event needs and ensure their requests are accommodated.
  3. Maintain an organized and up-to-date event schedule, including room assignments, equipment needs, and set-up requirements.
  4. Communicate effectively with event planners and stakeholders to ensure a smooth and successful event.
  5. Collaborate with other university departments to ensure efficient and effective use of resources and facilities.
  6. Monitor and update event policies and procedures to ensure compliance and consistency.
  7. Provide excellent customer service to all individuals involved in event planning and execution.
  8. Troubleshoot any scheduling conflicts and work to find solutions that meet the needs of all parties involved.
  9. Maintain accurate records and reports related to event scheduling and space usage.
  10. Proactively identify and address any potential issues or challenges that may arise in the event planning process.
  11. Continuously evaluate and improve the scheduling and event planning process to ensure efficiency and effectiveness.
  12. Stay up-to-date on industry trends and best practices in event planning and space management.
  13. Train and supervise any support staff or interns assigned to assist with event scheduling and space management.
  14. Foster a positive and collaborative work environment within the Space Planning & Operations team.
  15. Represent the University of Pennsylvania in a professional and positive manner at all times.

Job Qualifications
  • Bachelor's Degree In Event Management, Hospitality, Or A Related Field.

  • Minimum Of 2 Years Of Experience In Event Scheduling And Space Planning, Preferably In A Higher Education Setting.

  • Excellent Organizational And Time-Management Skills, With The Ability To Manage Multiple Events And Prioritize Tasks.

  • Proficiency In Event Management Software And Scheduling Systems, Such As Ems Or Eventbrite.

  • Strong Communication And Interpersonal Skills, With The Ability To Work Collaboratively With Various Stakeholders, Including Faculty, Staff, And External Clients.
