As the Administrative Coordinator, you will play a crucial role in supporting the department's operations and ensuring the smooth functioning of daily tasks.   1. Serve as the primary point of contact for the department, greeting visitors and answering inquiries in a professional and friendly manner.
  2. Coordinate and manage the department's calendar, scheduling meetings, appointments, and events.
  3. Assist in the preparation and distribution of departmental communications, including emails, memos, and newsletters.
  4. Maintain and update departmental databases and records, ensuring accuracy and confidentiality.
  5. Facilitate the onboarding process for new staff members, including coordinating training and orientation.
  6. Manage departmental budgets and expenses, tracking and reporting on expenditures.
  7. Coordinate travel arrangements and accommodations for departmental staff and visitors.
  8. Support departmental projects and initiatives, collaborating with team members to ensure timely completion.
  9. Serve as a liaison between the department and other departments within the university, as well as external partners and vendors.
  10. Assist with the preparation and submission of grant proposals and other funding applications.
  11. Attend departmental meetings and take detailed minutes, distributing them to relevant parties.
  12. Proactively identify and address any issues or challenges that may arise in the department, seeking solutions and escalating to management when necessary.
  13. Maintain inventory and order office supplies as needed.
  14. Provide administrative support to departmental leadership, including scheduling appointments, managing correspondence, and organizing documents.
  15. Continuously seek opportunities to improve departmental processes and procedures, making recommendations for streamlining and enhancing efficiency.

Job Qualifications
  • Bachelor's Degree In A Relevant Field Such As Healthcare Administration, Business Administration, Or A Related Field.

  • Prior Experience In A Similar Administrative Role, Preferably In A Healthcare Or Academic Setting.

  • Strong Organizational And Time-Management Skills, With The Ability To Handle Multiple Tasks And Meet Deadlines.

  • Excellent Communication Skills, Both Written And Verbal, With The Ability To Interact Professionally With Patients, Faculty, And Staff.

  • Proficiency In Microsoft Office And Other Relevant Computer Programs, With The Ability To Learn New Software And Systems Quickly.
