Job Description

Welcome to the City Planning Department at the University of Pennsylvania!   1. Provide administrative support to the City Planning Department at the University of Pennsylvania.
  2. Assist faculty and students with various administrative tasks, including scheduling meetings, organizing documents, and managing communication.
  3. Maintain department calendars and schedules, ensuring all deadlines are met and appointments are properly coordinated.
  4. Monitor and respond to department emails and phone calls in a timely and professional manner.
  5. Maintain and update department databases, records, and files.
  6. Prepare and distribute departmental materials, such as meeting agendas, reports, and presentations.
  7. Coordinate logistics for department events, including room reservations, catering, and audiovisual equipment.
  8. Assist with the preparation and submission of departmental budgets and expense reports.
  9. Handle confidential information with discretion and professionalism.
  10. Collaborate with other administrative staff to ensure smooth operation of the department.
  11. Participate in department meetings and take minutes as needed.
  12. Monitor and order office supplies as needed.
  13. Assist with additional tasks and projects as assigned by department leadership.
  14. Maintain a positive and professional attitude while representing the department.
  15. Uphold the values and mission of the City Planning Department and the University of Pennsylvania.

Job Qualifications
