Job Description

The University of California, Riverside is seeking an experienced and organized Office Coordinator to join our team and provide excellent organizational and administrative support to our faculty and staff. The successful candidate will be a highly motivated self-starter who excels at multitasking and working in a fast-paced environment.The ideal candidate for this role has at least two years of experience in an administrative role, with a high degree of proficiency in Microsoft Office Suite, especially Excel. Additionally, they will have strong interpersonal and communication skills, an attention to detail, and a customer service-oriented attitude.

Responsibilities:

  1. Coordinate office operations and procedures to ensure organizational effectiveness and efficiency.
  2. Provide administrative support to faculty and staff including filing, data entry, and recordkeeping.
  3. Manage office supplies, equipment, and other resources.
  4. Greet visitors and respond to inquiries.
  5. Maintain a clean, organized, and professional office environment.
  6. Respond to emails, phone calls, and other forms of communication in a timely and professional manner.
  7. Perform data entry and other administrative tasks as assigned.
  8. Schedule and coordinate meetings, appointments, and travel arrangements.
  9. Maintain accurate and organized records, databases, and filing systems.
  10. Assist in the preparation of presentations, reports, and other documents.
  11. Monitor and troubleshoot technical problems with office equipment.
  12. Assist in the preparation and distribution of mail, packages, and other materials.
  13. Assist in the processing of payments and invoices.
  14. Develop and implement procedures for office operations.
  15. Ensure compliance with policies and regulations.
  16. Prepare and submit reports on office activities.
