Thermo Fisher Scientific is seeking an Executive Assistant to join our team and provide exceptional administrative support to our senior leadership team. As an Executive Assistant, you will play a critical role in ensuring the smooth operation of our organization by managing calendars, coordinating travel arrangements, and handling a variety of administrative tasks. We are looking for a detail-oriented and proactive individual with excellent communication skills and a strong ability to multitask.   • Coordinate and manage the daily schedules of high-level executives, including scheduling meetings, appointments, and conference calls.
  • Prepare and review materials for meetings, ensuring accuracy and completeness.
  • Facilitate communication between executives and internal/external stakeholders, including responding to emails and phone calls in a timely and professional manner.
  • Coordinate travel arrangements, including booking flights, hotels, and ground transportation, and creating detailed itineraries.
  • Prepare and submit expense reports and track reimbursements.
  • Anticipate the needs of executives and proactively provide support to ensure their efficiency and productivity.
  • Conduct research and gather information as needed to support decision-making and project planning.
  • Manage and maintain confidential information and documents, exercising discretion and professionalism at all times.
  • Prioritize and manage multiple tasks and projects simultaneously, ensuring timely completion and follow-up.
  • Act as a liaison between executives and other team members, departments, and external partners.
  • Assist with special projects and events as requested by executives.
  • Maintain and update organizational charts, contact lists, and other relevant documents.
  • Collaborate with other administrative staff to ensure seamless support for the senior leadership team.
  • Continuously seek ways to improve processes and streamline tasks to increase efficiency and effectiveness.
  • Represent the organization in a professional and positive manner at all times.

Job Qualifications
  • Bachelor's Degree In Business Administration, Communications, Or A Related Field.

  • Minimum Of 5 Years Experience In An Executive Assistant Role, Preferably In A Large Corporate Setting.

  • Strong Organizational And Time-Management Skills, With The Ability To Prioritize Tasks And Handle Multiple Projects Simultaneously.

  • Excellent Written And Verbal Communication Skills, With The Ability To Interact With Senior-Level Executives And External Stakeholders.

  • Proficiency In Microsoft Office And Other Relevant Software, As Well As Experience With Managing Calendars, Scheduling Meetings, And Making Travel Arrangements.
