- Plan and execute a variety of special events, including but not limited to student orientations, alumni gatherings, and community events.
- Collaborate with various departments and organizations to ensure successful event planning and execution.
- Develop event timelines, budgets, and logistics to ensure timely and efficient execution of events.
- Communicate with event participants, vendors, and stakeholders to ensure a seamless and positive experience for all involved.
- Coordinate event setup and breakdown, including but not limited to arranging furniture, decorations, and audio-visual equipment.
- Monitor event progress and troubleshoot any issues that may arise, ensuring a smooth and successful event.
- Maintain accurate records and reports of event details, expenses, and attendance.
- Work closely with marketing and communication teams to promote events and attract attendees.
- Uphold and promote the university's mission, values, and brand identity through all events.
- Continuously evaluate and improve event processes to enhance the overall experience for attendees.
- Adhere to all university policies and procedures related to event planning and execution.
- Serve as a positive ambassador for the university and maintain a professional demeanor at all times.
- Train and supervise event volunteers and staff as needed.
- Stay updated on current event trends and industry best practices to bring fresh and innovative ideas to events.
- Handle any other duties or tasks as assigned by the event manager or supervisor.
Previous Experience In Event Planning: The Ideal Candidate For This Position Should Have At Least 2-3 Years Of Experience In Planning And Executing Events, Preferably In A University Or Large Organization Setting.
Strong Communication And Interpersonal Skills: As A Special Events Worker At The University Of New Mexico, It Is Important To Be Able To Effectively Communicate With A Diverse Group Of Individuals, Including Colleagues, Vendors, And Event Attendees.
Organizational And Time Management Skills: This Role Requires A High Level Of Organization And The Ability To Manage Multiple Tasks And Deadlines Simultaneously. The Candidate Should Be Able To Prioritize Tasks And Work Efficiently In A Fast-Paced Environment.
Knowledge Of Event Logistics And Equipment: The University Of New Mexico Hosts A Wide Range Of Events, From Small Meetings To Large-Scale Conferences. The Ideal Candidate Should Have Knowledge Of Event Logistics And Equipment, Including Audio-Visual Systems, Seating Arrangements, And Catering Services.
Flexibility And Adaptability: Special Events Often Require Flexibility And The Ability To Adapt To Changing Circumstances. The Candidate Should Be Able To Think On Their Feet And Troubleshoot Any Issues That May Arise During An Event.
