As a Legal Office Associate, you will have the opportunity to work with a variety of legal professionals and contribute to the success of our legal department. We are looking for a detail-oriented individual with excellent organizational and communication skills, as well as a strong understanding of legal processes.   1. Provide exceptional customer service to clients and visitors, ensuring a positive and professional experience at all times.
  2. Manage and maintain a high volume of legal documents, including scanning, filing, and organizing for easy retrieval.
  3. Assist with preparation and filing of legal documents, such as court filings, briefs, and contracts.
  4. Communicate with legal professionals, both internally and externally, to ensure efficient and accurate completion of tasks.
  5. Conduct legal research and summarize findings for use by attorneys and paralegals.
  6. Coordinate and schedule meetings, depositions, and other legal proceedings.
  7. Monitor and maintain office supplies and equipment, ensuring all items are stocked and in working order.
  8. Work closely with other members of the legal team to ensure timely completion of projects.
  9. Maintain confidentiality and handle sensitive information with discretion.
  10. Continuously seek opportunities to improve processes and procedures within the legal department.
  11. Keep abreast of changes in legal regulations and procedures, and communicate any updates to the team.
  12. Provide administrative support to the legal team, including but not limited to drafting correspondence, proofreading documents, and answering phone calls.
  13. Collaborate with other departments within the company to ensure smooth and efficient workflow.
  14. Assist with training and mentoring new Legal Office Associates as needed.
  15. Adhere to all company policies and procedures, as well as legal and ethical standards.

Job Qualifications
  • Knowledge Of Legal Terminology: The Ideal Candidate Should Have A Strong Understanding Of Legal Terminology And Procedures, Including But Not Limited To Document Management, E-Filing, And Legal Research.

  • Proficiency In Legal Software: A Legal Office Associate At Ricoh Usa Should Be Familiar With Legal Software Such As Lexisnexis, Westlaw, And Amicus Attorney. Experience With Document Management Systems, Such As Imanage Or Netdocuments, Is Also Preferred.

  • Organizational Skills: The Candidate Should Possess Excellent Organizational Skills To Effectively Manage And Prioritize Tasks In A Fast-Paced Legal Environment. This Includes Managing Multiple Projects, Meeting Deadlines, And Maintaining Accurate Records.

  • Communication Skills: A Legal Office Associate Must Have Strong Written And Verbal Communication Skills To Interact With Attorneys, Clients, And Other Team Members. This Includes Drafting And Proofreading Legal Documents, As Well As Effectively Communicating Information In A Professional Manner.

  • Attention To Detail: The Candidate Should Have A Strong Eye For Detail To Ensure Accuracy And Consistency In All Legal Documents And Correspondence. This Includes Proofreading For Spelling And Grammar Errors, As Well As Verifying Citations And References In Legal Documents.
