- Greet and welcome patients, families, and visitors to the unit with a friendly and professional demeanor.
- Answer and direct phone calls, take messages, and relay important information to the appropriate staff members.
- Maintain accurate and organized medical records by entering patient information into the electronic database, filing paperwork, and updating charts as needed.
- Communicate effectively with healthcare staff and patients to ensure efficient and timely care delivery.
- Schedule appointments, procedures, and tests for patients, and assist in coordinating their care with other departments.
- Monitor and order office supplies and equipment, ensuring that the unit is well-stocked and equipped for daily operations.
- Maintain confidentiality of all patient information in accordance with HIPAA regulations.
- Assist in coordinating and organizing meetings, conferences, and trainings for unit staff.
- Collaborate with other team members to ensure a safe and clean environment for patients and staff.
- Prepare and distribute reports, documents, and other materials as needed.
- Work closely with the nursing and medical staff to facilitate the admission and discharge process of patients.
- Keep track of patient census and maintain accurate records of admissions, transfers, and discharges.
- Follow all hospital policies and procedures to ensure compliance with state and federal regulations.
- Attend staff meetings and participate in training programs to stay updated on changes in policies and procedures.
- Perform other duties as assigned by the unit manager or supervisor.
High School Diploma Or Equivalent: A Unit Secretary At Prisma Health Must Have A Minimum Of A High School Diploma Or Equivalent To Ensure They Have The Basic Education And Skills Necessary For The Role.
Knowledge Of Medical Terminology: This Role Requires A Strong Understanding Of Medical Terminology And Procedures In Order To Accurately Transcribe And Communicate Information Within The Healthcare Setting.
Computer Proficiency: In Today's Digital Age, A Unit Secretary Must Be Comfortable Using Computers And Technology To Document And Organize Patient Information, Schedule Appointments, And Communicate With Other Healthcare Professionals.
Excellent Communication Skills: As A Unit Secretary, One Must Be Able To Communicate Effectively With Both Patients And Healthcare Staff, Both Verbally And In Writing. This Includes Being Able To Handle Difficult Situations With Empathy And Professionalism.
Organizational Skills: The Role Of A Unit Secretary Involves Managing Multiple Tasks And Responsibilities Simultaneously, So Strong Organizational Skills Are Essential. This Includes Being Able To Prioritize Tasks, Maintain Accurate Records, And Manage Time Effectively.
