Job Description

As the Facilities & Helium Coordinator, you will play a crucial role in bringing this vision to life by ensuring that our stores are equipped with the necessary facilities and helium supplies to create unforgettable events.   1. Oversee the maintenance and upkeep of all Party City store facilities to ensure they are clean, safe, and well-maintained.
  2. Manage the inventory and ordering of helium supplies for all Party City locations to ensure an adequate supply for customer needs.
  3. Develop and maintain relationships with helium suppliers to negotiate the best prices and ensure timely delivery.
  4. Collaborate with store managers to determine helium needs for upcoming events and plan accordingly.
  5. Monitor and track helium usage and expenses, and provide regular reports to upper management.
  6. Conduct regular inspections of store facilities to identify any issues or repairs needed and coordinate with appropriate parties to address them.
  7. Work closely with the store operations team to ensure that all facilities and helium equipment are in compliance with safety and regulatory standards.
  8. Train store employees on proper procedures for handling and using helium equipment.
  9. Troubleshoot any issues or malfunctions with helium equipment and coordinate repairs or replacements as needed.
  10. Stay up-to-date on industry trends and advancements in helium equipment and make recommendations for upgrades or improvements.
  11. Maintain accurate records of helium inventory and expenses, and assist in budget planning for future helium needs.
  12. Collaborate with other departments, such as purchasing and finance, to ensure efficient and effective management of facilities and helium supplies.
  13. Provide exceptional customer service by promptly addressing any customer concerns or inquiries related to facilities or helium.
  14. Ensure that all facilities and helium equipment are in compliance with Party City brand standards and guidelines.
  15. Continuously seek out ways to improve processes and streamline operations related to facilities and helium management.

Job Qualifications
  • Experience With Event Coordination: A Successful Candidate For This Role Should Have Previous Experience In Coordinating Events, Preferably In A Fast-Paced Retail Or Party Planning Environment. This Includes Managing Logistics, Coordinating With Vendors, And Ensuring The Smooth Execution Of Events.

  • Knowledge Of Helium Handling: As A Facilities & Helium Coordinator, The Candidate Should Have A Thorough Understanding Of Proper Handling And Storage Of Helium. This Includes Knowledge Of Safety Protocols And Regulations, As Well As Experience With Helium Tank Maintenance And Refilling.

  • Strong Organizational Skills: The Role Of A Facilities & Helium Coordinator Requires The Ability To Juggle Multiple Tasks And Prioritize Effectively. The Ideal Candidate Should Have Excellent Organizational Skills And Be Able To Manage Their Time Efficiently To Ensure All Tasks Are Completed In A Timely Manner.

  • Attention To Detail: A Successful Facilities & Helium Coordinator Should Have A Keen Eye For Detail And Be Able To Spot Any Potential Issues Before They Become Problems. This Includes Checking For Proper Equipment Maintenance, Ensuring Accurate Inventory Tracking, And Maintaining Clean And Safe Event Spaces.

  • Excellent Communication Skills: The Candidate Should Possess Strong Communication Skills To Effectively Work With Both Internal Teams And External Vendors. This Includes Clear And Timely Communication Of Event Details, Managing Expectations, And Resolving Any Issues That May Arise During Events.
