Job Description

Are you organized, detail-oriented, and able to handle multiple tasks with ease? If so, we have an exciting opportunity for you to join our team as a Secretary, Unit at Orlando Health. As the Secretary, Unit, you will play a vital role in supporting our unit and ensuring smooth operation of daily tasks. We are looking for a dedicated individual with excellent communication and time-management skills, who is able to work well under pressure in a fast-paced environment.   1. Provide administrative support to the unit, including scheduling appointments, organizing meetings, and maintaining calendars.
  2. Answer and direct phone calls, take messages, and respond to inquiries in a timely and professional manner.
  3. Manage communication and correspondence, including emails, memos, and letters, on behalf of the unit.
  4. Maintain and update unit records, files, and databases accurately and confidentially.
  5. Monitor and order office supplies, equipment, and inventory as needed.
  6. Assist with budget management and expense tracking for the unit.
  7. Coordinate travel arrangements and accommodations for unit staff as required.
  8. Prepare and distribute meeting agendas, minutes, and materials as needed.
  9. Collaborate with other unit secretaries to ensure smooth operation of daily tasks and provide coverage when necessary.
  10. Follow up on action items and ensure deadlines are met.
  11. Uphold a high level of professionalism and confidentiality in handling sensitive information and situations.
  12. Prioritize and manage multiple tasks with competing deadlines and changing priorities.
  13. Proactively identify and address any issues or concerns that may arise within the unit.
  14. Foster a positive and inclusive work environment by promoting teamwork and open communication.
  15. Attend meetings and trainings as required to stay up-to-date on unit operations and processes.
