  1. Provide administrative support to the OB/GYN team including scheduling appointments, maintaining calendars, and organizing meetings.
  2. Maintain accurate and organized records for patients, healthcare providers, and department operations.
  3. Communicate effectively with patients, healthcare providers, and other team members to ensure efficient operations and a positive patient experience.
  4. Assist in managing and coordinating department budgets and expenses.
  5. Prepare and distribute reports, presentations, and other relevant materials as needed.
  6. Handle incoming calls, emails, and other correspondence in a timely and professional manner.
  7. Manage and maintain office supplies and equipment, ensuring proper functioning and availability.
  8. Collaborate with other administrative support staff to ensure seamless coordination and support across the department.
  9. Proactively identify and resolve any administrative issues or concerns to ensure efficient operations.
  10. Uphold strict confidentiality regarding patient information and adhere to all HIPAA regulations.
  11. Assist with special projects and events as assigned by department leadership.
  12. Continuously seek opportunities for process improvement and implement new strategies to increase efficiency and productivity.
  13. Support the team in maintaining a clean and organized work environment.
  14. Serve as a positive and professional representative of Northwell Health and the OB/GYN department at all times.

Job Qualifications
  • Knowledge Of Ob/Gyn Terminology And Procedures: A Qualified Administrative Support Associate-Ob/Gyn Should Have A Strong Understanding Of Medical Terminology And Procedures Related To Obstetrics And Gynecology. This Includes Knowledge Of Prenatal Care, Labor And Delivery, And Women's Health Concerns.

  • Strong Organizational And Time-Management Skills: This Role Requires Managing A High Volume Of Patient Appointments, Medical Records, And Administrative Tasks. Candidates Should Possess Excellent Organizational And Time-Management Skills To Effectively Handle These Responsibilities.

  • Experience With Electronic Medical Records (Emr) Systems: Northwell Health Uses Electronic Medical Records For All Patient Information, So Proficiency With Emr Systems Is Essential For This Position. Candidates Should Have Prior Experience With Emr Systems And Be Comfortable Navigating And Inputting Information Into These Systems.

  • Excellent Communication And Interpersonal Skills: As An Administrative Support Associate, This Role Involves Interacting With Patients, Healthcare Providers, And Other Staff Members On A Daily Basis. Strong Communication And Interpersonal Skills Are Crucial For Maintaining A Positive And Professional Work Environment.

  • Previous Experience In A Healthcare Setting: While Not Required, Previous Experience In A Healthcare Setting, Particularly In Ob/Gyn, Is Highly Desirable For This Role. Candidates With Prior Experience Will Have A Better Understanding Of The Specific Needs And Challenges Of This Specialty And Be Able To Hit The Ground Running In This Position.
