  1. Provide administrative support to the Facilities team by managing schedules, coordinating meetings, and handling correspondence.
  2. Maintain accurate and up-to-date records, including budgets, reports, and contracts.
  3. Communicate effectively with internal and external stakeholders, including staff, patients, and vendors.
  4. Coordinate travel arrangements and process expense reports for the Facilities team.
  5. Assist with data entry and data management for various projects and initiatives.
  6. Organize and maintain physical and digital files, ensuring all documents are easily accessible.
  7. Collaborate with other administrative assistants and departments to ensure efficient workflow.
  8. Monitor and track departmental expenses, ensuring adherence to budget guidelines.
  9. Assist in the preparation of presentations and reports for departmental meetings and presentations.
  10. Handle confidential information with discretion and maintain a high level of professionalism at all times.
  11. Continuously seek opportunities to improve processes and procedures within the department.
  12. Perform other duties as assigned by the Facilities team.

Job Qualifications
  • Excellent Organizational And Time-Management Skills: The Divisional Administrative Assistant Must Be Able To Effectively Manage Multiple Tasks And Prioritize Responsibilities In A Fast-Paced Environment.

  • Strong Communication And Interpersonal Skills: This Role Requires Constant Communication With Various Departments, Vendors, And Contractors, As Well As The Ability To Build And Maintain Relationships With Internal And External Stakeholders.

  • Proficiency In Computer Software And Systems: The Candidate Should Have A Strong Understanding Of Microsoft Office Suite, Database Management, And Electronic Filing Systems To Assist With Record-Keeping And Reporting.

  • Knowledge Of Facilities Management: A Basic Understanding Of Facilities Management Principles And Terminology Is Essential In Order To Effectively Support The Division's Facilities Team. Previous Experience In A Similar Role Is Preferred.

  • Attention To Detail: The Divisional Administrative Assistant Will Be Responsible For Coordinating And Tracking Various Projects, Contracts, And Invoices, So A Keen Eye For Detail And Accuracy Is Crucial. Any Experience With Budget Management Is A Plus.
