- Operate and maintain the switchboard system, ensuring all calls are answered promptly and efficiently.
- Handle high call volumes and prioritize urgent calls, while maintaining a professional and courteous demeanor.
- Greet and assist visitors and patients in a friendly and welcoming manner, directing them to the appropriate location or staff member.
- Maintain accurate and up-to-date records of incoming and outgoing calls, including call logs, message taking, and dispatching.
- Collaborate with various departments and staff members to ensure efficient communication and timely response to calls.
- Troubleshoot technical issues with the switchboard system and escalate to the appropriate department for resolution.
- Adhere to all confidentiality and privacy policies when handling sensitive information and calls.
- Maintain a clean and organized work area, including the switchboard and reception desk.
- Provide excellent customer service to all callers and visitors, addressing any concerns or complaints in a timely and professional manner.
- Assist with training and mentoring new switchboard operators as needed.
- Stay updated on organization policies, procedures, and services in order to provide accurate information to callers and visitors.
- Handle any other duties as assigned by the supervisor or manager.
