
Office Assistant - Outpatient Rehab

As an Office Assistant, you will play a crucial role in supporting the daily operations of our rehab team and ensuring the highest level of care for our patients. - Greet and welcome patients, visitors, and staff in a friendly and professional manner.
- Answer and direct phone calls to the appropriate team members.
- Schedule patient appointments and maintain accurate records of appointments and cancellations.
- Assist with patient intake and registration, ensuring all necessary paperwork is completed.
- Maintain and organize patient files, ensuring they are up-to-date and easily accessible.
- Communicate effectively with the rehab team to coordinate patient care and schedules.
- Process and file insurance claims and other administrative tasks as needed.
- Monitor and order office supplies to ensure adequate stock levels.
- Collaborate with other office assistants and team members to ensure smooth operations and patient satisfaction.
- Maintain a clean and organized office space to create a welcoming environment for patients and staff.
- Follow all HIPAA regulations and maintain patient confidentiality.
- Participate in staff meetings and provide input on office processes and procedures.
- Assist with special projects and tasks as assigned by the rehab team.
- Continuously strive to improve office efficiency and patient experience.
- Uphold the values and mission of Legacy Health in all interactions with patients, visitors, and staff.
Proficiency In Microsoft Office Suite: As An Office Assistant, Proficiency In Microsoft Office Suite Is Essential For Creating Documents, Spreadsheets, And Presentations. Knowledge Of Word Processing, Spreadsheet Management, And Presentation Software Is Necessary For Efficiently Completing Daily Tasks.
Strong Organizational Skills: An Office Assistant At An Outpatient Rehab Facility Must Have Excellent Organizational Skills To Manage Patient Records, Schedule Appointments, And Maintain Inventory Of Office Supplies. Attention To Detail And The Ability To Prioritize Tasks Are Also Important For This Role.
Knowledge Of Medical Terminology: A Basic Understanding Of Medical Terminology Is Crucial For An Office Assistant In An Outpatient Rehab Setting. This Knowledge Will Help With Accurately Scheduling Appointments, Communicating With Patients And Providers, And Managing Medical Records.
Excellent Communication Skills: The Ability To Communicate Effectively Is Essential For An Office Assistant At An Outpatient Rehab Center. This Includes Both Written And Verbal Communication With Patients, Healthcare Providers, And Other Administrative Staff. Strong Interpersonal Skills Are Also Important For Interacting With Patients And Their Families.
Experience With Electronic Medical Records (Emr): Legacy Health Uses Electronic Medical Records To Store Patient Information And Manage Appointments. Therefore, Experience With Emr Systems Is Preferred For An Office Assistant Position At Their Outpatient Rehab Facility. This Includes The Ability To Input And Retrieve Data Accurately And Efficiently.
