- Manage incoming and outgoing communications, including phone calls, messages, and emails, and ensure they are directed to the appropriate staff members.
- Schedule appointments, procedures, and tests for patients and ensure necessary paperwork is completed and filed.
- Collaborate with medical staff to ensure timely and accurate documentation of patient care, including charting and updating patient information.
- Assist with ordering and maintaining inventory of medical and office supplies, and ensure equipment is in working order.
- Greet patients and families and provide them with necessary information and assistance, including directing them to their appointments and answering any questions they may have.
- Coordinate and schedule meetings, conferences, and other events for the unit and ensure necessary materials and resources are available.
- Maintain confidentiality of patient information and adhere to all HIPAA regulations.
- Handle billing and insurance inquiries, and assist patients with completing necessary forms and paperwork.
- Collaborate with other unit secretaries and healthcare professionals to ensure a smooth workflow and efficient communication within the unit.
- Provide exceptional customer service to patients, families, and visitors, and address any concerns or complaints in a timely and professional manner.
- Stay updated on unit policies, procedures, and regulations, and ensure compliance with all safety and infection control protocols.
- Attend and actively participate in staff meetings and training sessions to stay current on healthcare practices and procedures.
- Perform other administrative tasks and duties as assigned by the unit manager or supervisor.
