- Manage and maintain the calendars and schedules of the members of the Board of Trustees, ensuring all appointments, meetings, and events are accurately reflected.
- Serve as the primary point of contact for all communication and correspondence with the Board of Trustees, including responding to emails and phone calls in a timely and professional manner.
- Coordinate and facilitate all logistics for board meetings, including preparing agendas, compiling meeting materials, and arranging travel and accommodations for board members.
- Take accurate and detailed meeting minutes during board meetings and distribute them to all relevant parties in a timely manner.
- Conduct research and compile information to support the Board of Trustees in making informed decisions and recommendations.
- Maintain confidential and sensitive information with the utmost discretion and professionalism.
- Assist in the preparation and distribution of reports, presentations, and other materials for the Board of Trustees.
- Collaborate with other administrative staff to ensure smooth and efficient operation of the Board of Trustees office.
- Proactively identify and anticipate the needs of the Board of Trustees and provide support as needed.
- Manage and track expenses related to the Board of Trustees office, including budgeting and processing reimbursements.
- Perform general administrative tasks such as filing, organizing documents, and managing office supplies.
- Develop and maintain strong relationships with key stakeholders, both internally and externally, to support the work of the Board of Trustees.
- Continuously seek ways to improve processes and procedures in the Board of Trustees office to increase efficiency and effectiveness.
- Stay updated on relevant policies, procedures, and regulations to ensure compliance with university and board guidelines.
- Demonstrate a high level of professionalism, discretion, and integrity in all interactions and communications with board members, university staff, and external stakeholders.
Bachelor's Degree In Business Administration, Management, Or A Related Field.
Minimum Of 3-5 Years Of Experience In Executive Support Or Administrative Role.
Proven Ability To Manage Complex Calendars, Travel Arrangements, And Meeting Logistics.
Excellent Communication And Interpersonal Skills, With The Ability To Interact Professionally With High-Level Executives And Stakeholders.
Strong Organizational Skills And Attention To Detail, With The Ability To Prioritize And Manage Multiple Tasks Simultaneously.
