Job Description

Welcome to Holiday Inn Hotels, where we strive to create unforgettable experiences for our guests. We are currently seeking a passionate and organized Events Coordinator to join our team. As an Events Coordinator, you will play a crucial role in planning and executing various events at our hotel, from weddings and corporate meetings to holiday parties and social gatherings. We are looking for someone with exceptional attention to detail, excellent communication skills, and a strong ability to multitask.   1. Plan and execute events at the Holiday Inn hotel, including weddings, corporate meetings, holiday parties, and social gatherings.
  2. Collaborate with clients to understand their event needs and ensure all details are accurately captured and executed.
  3. Create event proposals and budgets, and work within given budgets to ensure profitable events.
  4. Source and negotiate with vendors to provide high-quality services and products for events.
  5. Coordinate with various hotel departments, such as catering, sales, and housekeeping, to ensure seamless event execution.
  6. Manage event timelines and schedules to ensure all tasks are completed in a timely manner.
  7. Serve as the main point of contact for clients throughout the planning and execution process, providing excellent customer service and addressing any concerns or issues that may arise.
  8. Conduct site visits and attend planning meetings with clients to ensure all event requirements are met.
  9. Assist with marketing and promotion of events to attract new clients and increase event revenue.
  10. Stay updated on industry trends and best practices to continuously improve event planning and execution processes.
  11. Maintain accurate records and files for all events, including contracts, invoices, and event details.
  12. Ensure all events are in compliance with hotel policies, procedures, and safety regulations.
  13. Train and supervise event staff members to ensure high-quality service delivery.
  14. Handle any unexpected challenges or issues that may arise during events, using problem-solving skills to find quick and effective solutions.
  15. Continuously strive to exceed guest expectations and create memorable experiences through exceptional event planning and execution.

Job Qualifications
  • Experience In Event Planning And Coordination: A Successful Events Coordinator At Holiday Inn Hotels Should Have Prior Experience In Planning And Coordinating Events, Preferably In A Hotel Setting. This Includes Experience In Budget Management, Vendor Management, And Timeline Creation.

  • Communication And Interpersonal Skills: Excellent Communication Skills Are Crucial For An Events Coordinator As They Will Be Working With Both Internal And External Stakeholders, Including Clients, Hotel Staff, And Vendors. Strong Interpersonal Skills Are Also Important For Building Relationships And Ensuring A Successful Event.

  • Organizational And Time Management Skills: Events Coordinators Need To Handle Multiple Tasks And Deadlines Simultaneously. They Should Be Highly Organized And Have Strong Time Management Skills To Ensure That All Aspects Of The Event Are Planned And Executed Smoothly.

  • Knowledge Of Event Industry And Trends: A Good Events Coordinator Should Be Familiar With The Latest Trends And Best Practices In The Event Industry. They Should Also Have A Good Understanding Of The Local Market And Be Able To Identify Opportunities For Unique And Successful Events.

  • Attention To Detail: From Contracts And Budgets To Event Logistics And Guest Experience, An Events Coordinator Must Pay Close Attention To Every Detail To Ensure A Flawless Event. This Includes Being Able To Anticipate And Troubleshoot Any Potential Issues Before They Arise.
