We are currently seeking a highly organized and detail-oriented individual to join our team as a Catering and Events Administrative Assistant. In this role, you will work closely with our Catering and Events Managers to ensure the seamless execution of all events and functions within our hotel. The ideal candidate will possess excellent communication skills, strong time-management abilities, and a passion for delivering top-notch customer service.   1. Support the Catering and Events Managers in the planning and execution of all events and functions within the hotel.
  2. Assist in coordinating and communicating with clients to ensure their needs and expectations are met.
  3. Maintain accurate and detailed event records, including contracts, invoices, and guest lists.
  4. Coordinate and track event timelines and deadlines to ensure all tasks are completed in a timely manner.
  5. Manage event logistics, including room setups, AV equipment, and catering orders.
  6. Collaborate with other hotel departments to ensure all event details are communicated and executed.
  7. Greet and assist guests upon arrival, ensuring a positive and welcoming experience.
  8. Respond promptly and professionally to guest inquiries and concerns.
  9. Maintain a high level of organization and attention to detail in all aspects of the job.
  10. Continuously strive to provide exceptional customer service and exceed guest expectations.
  11. Adhere to all hotel policies and procedures, including those related to safety and security.
  12. Work closely with the sales team to assist with event sales and marketing efforts.
  13. Assist with administrative tasks, such as filing, data entry, and answering phone calls.
  14. Proactively identify and address any issues or concerns that may arise during events.
  15. Maintain a positive and professional attitude while representing the hotel and its values.

Job Qualifications
  • Excellent Organizational Skills: As A Catering And Events Administrative Assistant, The Candidate Must Have Strong Organizational Skills To Effectively Manage Multiple Tasks And Events Simultaneously.

  • Event Planning Experience: A Candidate With Experience In Event Planning Will Be Able To Assist With Coordinating And Executing Events At Hilton Hotels, Ensuring A Seamless And Successful Experience For All Guests.

  • Proficiency In Computer And Software Applications: This Position Requires The Use Of Various Computer And Software Applications, Such As Microsoft Office And Event Management Software, To Assist With Administrative Tasks And Event Planning.

  • Strong Communication Skills: The Candidate Must Possess Excellent Communication Skills To Effectively Communicate With Clients, Vendors, And Team Members To Ensure All Details Of An Event Are Planned And Executed Accordingly.

  • Attention To Detail: This Role Requires A High Level Of Attention To Detail To Ensure All Event Details, Such As Menus, Seating Arrangements, And Contracts, Are Accurate And Meet The Clients' Expectations.
