This individual will play a crucial role in ensuring the success of our catering and events department by providing efficient administrative support.   1. Provide administrative support to the catering and events department, including scheduling appointments, managing calendars, and maintaining records.
  2. Assist with the coordination and execution of all catering and event operations, ensuring smooth and efficient processes.
  3. Act as the main point of contact for clients, responding to inquiries and providing excellent customer service.
  4. Prepare and distribute event contracts, ensuring accuracy and timely delivery.
  5. Coordinate and communicate event details with various departments and vendors to ensure all requirements are met.
  6. Manage and maintain inventory of catering and event supplies, ensuring adequate stock levels at all times.
  7. Prepare and distribute event orders and timelines to all relevant parties.
  8. Assist with budget management and expense tracking for catering and events.
  9. Conduct research and provide recommendations for event enhancements and cost-saving measures.
  10. Collaborate with the marketing team to promote events and generate interest from potential clients.
  11. Assist with event set-up and breakdown, ensuring all equipment and materials are in place and in good condition.
  12. Maintain a clean and organized workspace, ensuring all necessary documents and materials are easily accessible.
  13. Attend team meetings and provide updates on upcoming events, challenges, and successes.
  14. Continuously seek opportunities to improve processes and enhance the overall experience for clients and guests.
  15. Adhere to all company policies and procedures, including health and safety regulations, at all times.

  • Excellent Organizational Skills: A Catering And Events Administrative Assistant At Hilton Hotels Should Possess Strong Organizational Skills To Effectively Manage Multiple Tasks, Events, And Projects At Once. This Includes Managing Schedules, Coordinating With Various Departments, And Ensuring Timely Completion Of Tasks.

  • Proficient In Computer Skills: The Job Of A Catering And Events Administrative Assistant Requires Regular Use Of Various Computer Software Programs For Data Entry, Scheduling, And Communication. Applicants Should Have A Good Understanding Of Microsoft Office, Event Management Software And Other Relevant Programs.

  • Exceptional Communication Skills: Strong Written And Verbal Communication Skills Are Essential For A Catering And Events Administrative Assistant. This Role Requires Regular Communication With Clients, Vendors, And Other Hotel Departments To Coordinate And Execute Successful Events.

  • Customer Service Orientation: As A Representative Of Hilton Hotels, The Catering And Events Administrative Assistant Should Have A Customer Service-Oriented Mindset. This Includes Being Friendly, Approachable And Willing To Go Above And Beyond To Ensure A Positive Experience For Guests And Clients.

  • Event Planning Experience: Previous Experience In Event Planning Or Coordination Is Highly Preferred For This Role. This Includes Knowledge Of Event Logistics, Coordinating With Vendors, And Managing Budgets. Candidates With A Degree Or Certification In Event Management Will Be Given Preference.
