  1. Provide administrative support to the Catering and Events department, including managing calendars, scheduling appointments, and responding to emails and phone calls.
  2. Assist with event coordination by creating and maintaining detailed timelines, managing guest lists, and communicating with internal and external stakeholders.
  3. Handle all incoming inquiries and requests from clients, ensuring prompt and professional responses.
  4. Maintain accurate and organized event files and documentation, including contracts, agreements, and invoices.
  5. Collaborate with other departments such as sales, food and beverage, and housekeeping to ensure seamless coordination for events.
  6. Assist in creating event proposals and presentations, utilizing strong writing and communication skills.
  7. Manage inventory and ordering of event supplies, ensuring all items are delivered on time and within budget.
  8. Participate in pre-event meetings and walkthroughs to ensure all details are accurately communicated to the team.
  9. Support the team in on-site event execution, including set up, vendor management, and troubleshooting any issues that may arise.
  10. Continuously seek opportunities to improve processes and procedures within the department, and proactively suggest ideas for enhancing the overall guest experience.

Job Qualifications
  • Proficiency In Event Planning Software: The Ideal Candidate Should Have Experience In Using Software Such As Cvent Or Social Tables To Assist With Event Coordination And Management.

  • Excellent Organizational And Multitasking Skills: This Role Requires The Ability To Handle Multiple Tasks Simultaneously, Such As Managing Event Timelines, Coordinating With Vendors, And Handling Guest Inquiries.

  • Strong Communication Skills: The Candidate Should Possess Excellent Verbal And Written Communication Skills, As They Will Be Responsible For Communicating With Clients, Vendors, And Other Team Members.

  • Previous Experience In The Hospitality Industry: A Background In The Hospitality Industry, Particularly In Catering And Events, Is Highly Desirable For This Role. This Experience Will Provide The Necessary Knowledge And Understanding Of The Industry To Excel In The Position.

  • Attention To Detail: The Candidate Should Have A Keen Eye For Detail, As They Will Be Responsible For Ensuring All Event Details Are Accurate And In Line With Hilton's Standards. This Includes Everything From Menu Selection To Event Setup And Decor.
