
Catering and Events Administrative Assistant

- Provide administrative support to the Catering and Events team.
- Assist with the coordination and execution of events, including managing guest lists, creating event materials, and ensuring all details are executed flawlessly.
- Communicate with clients and vendors to gather event details and ensure all needs and requests are met.
- Maintain accurate and organized event files and documents.
- Assist with budget management and tracking for events.
- Coordinate appointments and meetings for the Catering and Events team.
- Respond promptly and professionally to all event inquiries and requests.
- Manage all event inquiries and requests, including answering calls, responding to emails, and handling event inquiries.
- Collaborate with other departments within the hotel to ensure a seamless and successful event experience for guests.
- Assist with maintaining inventory and ordering supplies for events.
- Provide exceptional customer service to all guests and clients.
- Act as a liaison between the hotel and event vendors to ensure smooth communication and execution of event details.
- Assist with creating and distributing event promotions and marketing materials.
- Maintain knowledge of hotel offerings and services to effectively promote and upsell to clients.
- Proactively identify and address any issues or concerns related to events to ensure guest satisfaction.
- Stay up-to-date on industry trends and best practices to enhance event planning and execution.
- Adhere to all hotel and company policies and procedures.
- Attend and participate in team meetings and training sessions as required.
- Perform other duties as assigned by the Catering and Events Manager.
Strong Organizational Skills: The Ideal Candidate Should Possess Excellent Organizational Skills To Handle Multiple Tasks And Events Simultaneously, While Ensuring Smooth Operations And Timely Completion Of Tasks.
Excellent Communication Skills: As A Catering And Events Administrative Assistant, Effective Communication With Clients, Vendors, And Team Members Is Essential. The Candidate Should Have Excellent Written And Verbal Communication Skills To Convey Information Accurately And Professionally.
Experience In Event Planning And Coordination: Previous Experience In Event Planning And Coordination Is A Must For This Role. The Candidate Should Have A Solid Understanding Of Event Logistics, Budgeting, And Vendor Management To Ensure Successful Events.
Proficiency In Computer Software: The Candidate Should Have A Strong Understanding Of Computer Software, Including Microsoft Office, Event Planning Software, And Customer Relationship Management (Crm) Systems. Familiarity With These Tools Will Help The Candidate To Efficiently Manage Event Details And Communicate With Clients.
Customer Service Skills: Working In The Hospitality Industry, The Candidate Should Have Exceptional Customer Service Skills To Handle Client Inquiries, Requests, And Complaints. They Should Be Able To Maintain A Positive And Professional Demeanor While Providing Excellent Service To Clients.
