
Catering and Events Administrative Assistant

We are currently seeking a detail-oriented and organized Catering and Events Administrative Assistant to join our team. In this role, you will play a vital part in the behind-the-scenes operations of our catering and events department. We are looking for someone who is passionate about creating seamless events and has a strong background in administrative support. - Provide administrative support to the catering and events department, including scheduling appointments, managing calendars, and coordinating meetings.
- Assist with the organization and execution of events, including communicating with vendors, coordinating event logistics, and managing event timelines.
- Maintain accurate and up-to-date records of event details, contracts, and invoices.
- Respond to inquiries and requests from clients and guests in a professional and timely manner.
- Collaborate with other departments, such as sales and marketing, to ensure successful execution of events.
- Assist with the creation and distribution of event materials, such as menus, invitations, and event programs.
- Help with menu planning and ensure all dietary restrictions and preferences are accommodated.
- Support the catering and events team in managing budgets and expenses.
- Maintain a thorough understanding of Hilton's brand standards and ensure they are upheld during events.
- Participate in pre- and post-event meetings to gather feedback and make recommendations for improvement.
- Keep track of inventory and order supplies as needed for events.
- Stay updated on industry trends and make suggestions for incorporating new ideas into events.
- Uphold a high level of professionalism and customer service at all times.
- Assist with any other duties or projects assigned by the catering and events manager.
Minimum Of 1-2 Years Of Experience In A Similar Role Within The Hospitality Industry, Preferably In Catering And Events.
Excellent Organizational And Time-Management Skills With The Ability To Handle Multiple Tasks And Prioritize Effectively.
Proficiency In Microsoft Office Suite And Event Management Software.
Strong Communication And Interpersonal Skills, With The Ability To Interact With Clients, Vendors, And Team Members In A Professional And Friendly Manner.
Knowledge Of Catering And Event Planning Processes, Including Menu Creation, Room Setups, And Vendor Coordination.
