
Catering and Events Administrative Assistant

- Assist in the planning and coordination of all catering and events at Hilton Hotels.
- Maintain and update event calendars, contracts, and other important documents.
- Respond to inquiries and requests from clients, guests, and colleagues in a timely and professional manner.
- Handle all administrative tasks related to catering and events, including but not limited to: creating and distributing event materials, managing guest lists, and tracking event expenses.
- Collaborate with various departments to ensure smooth execution of events, including communicating event details and requirements.
- Create and maintain detailed event timelines and schedules.
- Assist in the preparation of event budgets and track expenses to ensure cost efficiency.
- Help with the setup and breakdown of events, including arranging room layouts and coordinating with vendors.
- Keep track of event RSVPs and confirmations.
- Provide excellent customer service to all guests and attendees.
- Maintain inventory and order supplies as needed for events.
- Assist with creating and distributing event marketing materials.
- Attend and participate in team meetings and training sessions.
- Stay updated on industry trends and best practices in event planning.
- Adhere to all company policies and procedures, including safety and security protocols.
Excellent Organizational And Time Management Skills To Handle Multiple Tasks And Events Simultaneously.
Strong Communication Skills, Both Written And Verbal, To Effectively Communicate With Clients, Vendors, And Team Members.
Proficiency In Computer Software Such As Microsoft Office And Event Management Software To Create And Manage Event Plans, Budgets, And Contracts.
Previous Experience In Event Planning Or Catering, With A Strong Understanding Of The Industry And Customer Service Standards.
Ability To Work Independently And As Part Of A Team, With A Positive And Professional Attitude To Provide Exceptional Service To Guests And Colleagues.
