- Communicate with clients to gather event details, make arrangements, and address any questions or concerns.
- Maintain accurate and organized records of event details, contracts, and payments.
- Assist in creating event proposals, contracts, and invoices.
- Collaborate with other departments, such as sales and marketing, to ensure successful events and promote the hotel's services.
- Manage event inquiries and reservations, providing timely and professional responses to potential clients.
- Prepare event materials, such as menus, floor plans, and guest lists.
- Conduct site visits and attend events to ensure smooth operations and excellent guest satisfaction.
- Assist with administrative tasks, such as ordering supplies, processing invoices, and preparing reports.
- Stay updated on industry trends and best practices to continuously improve event planning and execution.
- Maintain a positive and professional attitude at all times, providing exceptional customer service to clients and guests.
- Uphold the hotel's standards and policies, ensuring all events are in compliance with regulations and guidelines.
- Handle any event-related issues or emergencies effectively and efficiently.
- Perform other duties as assigned by the catering and events manager or director.
Excellent Communication Skills: A Catering And Events Administrative Assistant At Hilton Hotels Must Possess Strong Verbal And Written Communication Skills To Effectively Communicate With Clients, Vendors, And Other Team Members.
Organizational Skills: The Candidate Should Have Excellent Organizational Skills To Manage Multiple Tasks And Deadlines, As Well As Maintain Accurate Records And Files.
Experience In Event Planning: Previous Experience In Event Planning Or Coordination Is Desirable For This Role, As It Involves Assisting With The Planning And Execution Of Various Events And Functions.
Proficient In Microsoft Office: The Ideal Candidate Should Have A Strong Understanding Of Microsoft Office Programs, Including Word, Excel, And Powerpoint, To Create Documents, Spreadsheets, And Presentations.
Customer Service Oriented: A Catering And Events Administrative Assistant Should Have A Friendly And Professional Demeanor To Provide Exceptional Customer Service To Clients And Guests. Previous Experience In A Customer-Facing Role Is Preferred.
