  1. Provide administrative support to the catering and events department, including managing calendars, scheduling meetings, and responding to emails and phone calls.
  2. Assist with the planning and execution of events, including coordinating with vendors, creating event timelines, and tracking event budgets.
  3. Communicate with clients to gather event details, make arrangements, and address any questions or concerns.
  4. Maintain accurate and organized records of event details, contracts, and payments.
  5. Assist in creating event proposals, contracts, and invoices.
  6. Collaborate with other departments, such as sales and marketing, to ensure successful events and promote the hotel's services.
  7. Manage event inquiries and reservations, providing timely and professional responses to potential clients.
  8. Prepare event materials, such as menus, floor plans, and guest lists.
  9. Conduct site visits and attend events to ensure smooth operations and excellent guest satisfaction.
  10. Assist with administrative tasks, such as ordering supplies, processing invoices, and preparing reports.
  11. Stay updated on industry trends and best practices to continuously improve event planning and execution.
  12. Maintain a positive and professional attitude at all times, providing exceptional customer service to clients and guests.
  13. Uphold the hotel's standards and policies, ensuring all events are in compliance with regulations and guidelines.
  14. Handle any event-related issues or emergencies effectively and efficiently.
  15. Perform other duties as assigned by the catering and events manager or director.

Job Qualifications
  • Excellent Communication Skills: A Catering And Events Administrative Assistant At Hilton Hotels Must Possess Strong Verbal And Written Communication Skills To Effectively Communicate With Clients, Vendors, And Other Team Members.

  • Organizational Skills: The Candidate Should Have Excellent Organizational Skills To Manage Multiple Tasks And Deadlines, As Well As Maintain Accurate Records And Files.

  • Experience In Event Planning: Previous Experience In Event Planning Or Coordination Is Desirable For This Role, As It Involves Assisting With The Planning And Execution Of Various Events And Functions.

  • Proficient In Microsoft Office: The Ideal Candidate Should Have A Strong Understanding Of Microsoft Office Programs, Including Word, Excel, And Powerpoint, To Create Documents, Spreadsheets, And Presentations.

  • Customer Service Oriented: A Catering And Events Administrative Assistant Should Have A Friendly And Professional Demeanor To Provide Exceptional Customer Service To Clients And Guests. Previous Experience In A Customer-Facing Role Is Preferred.
