Job Description

We are currently seeking a highly organized and detail-oriented individual to join our team as a Catering and Events Administrative Assistant. In this role, you will play a crucial part in ensuring the success of our events by providing administrative support to our catering and events team.   1. Provide administrative support to the catering and events team, including but not limited to scheduling appointments, organizing files, and managing correspondence.
  2. Assist with the planning and execution of events, including managing guest lists, coordinating vendors, and creating event timelines.
  3. Communicate with clients to gather event details, answer questions, and provide updates on event planning progress.
  4. Maintain and update event databases and systems to ensure accurate and up-to-date information.
  5. Prepare event materials such as menus, programs, and name tags.
  6. Assist with budget management for events, including tracking expenses and processing invoices.
  7. Coordinate with other departments within the hotel to ensure smooth execution of events.
  8. Attend and participate in event meetings, take detailed notes, and follow up on action items.
  9. Create and distribute event-related documents, such as proposals, contracts, and event orders.
  10. Conduct research on event vendors, venues, and other resources to ensure high-quality services and cost-effectiveness.
  11. Proactively identify potential issues and provide solutions to ensure successful events.
  12. Assist with post-event activities, such as collecting feedback from clients and analyzing event data.
  13. Uphold the Hilton brand and standards of service while interacting with guests and colleagues.
  14. Continuously seek opportunities to improve and streamline event processes and procedures.
  15. Maintain a professional and positive attitude, representing Hilton Hotels and the catering and events team with excellence.

Job Qualifications
  • Excellent Organizational Skills: A Catering And Events Administrative Assistant At Hilton Hotels Must Have Strong Organizational Skills To Handle Multiple Tasks And Events Simultaneously. This Includes Managing Bookings, Creating Event Timelines, And Ensuring All Details Are In Place For A Successful Event.

  • Strong Communication Skills: Effective Communication Is Key In The Hospitality Industry, And A Catering And Events Administrative Assistant Must Be Able To Communicate Clearly And Professionally With Clients, Vendors, And Team Members. This Includes Written And Verbal Communication, As Well As Active Listening Skills.

  • Experience In Event Planning And Coordination: Candidates For This Position Should Have Prior Experience In Event Planning And Coordination, Preferably In A Hotel Or Hospitality Setting. This Includes Knowledge Of Event Logistics, Contracts, And Vendor Management.

  • Proficient In Computer Systems And Software: As A Catering And Events Administrative Assistant, One Must Be Comfortable Using Various Computer Systems And Software, Such As Microsoft Office, Event Management Software, And Customer Relationship Management (Crm) Systems. This Will Help With Tasks Such As Creating Proposals, Managing Guest Lists, And Tracking Event Budgets.
