  1. Coordinate and manage all aspects of catering and event planning, including but not limited to: booking venues, coordinating menus and food service, managing event timelines, and communicating with event vendors and suppliers.
  2. Provide administrative support to the Catering and Events team, including scheduling appointments, answering phone calls and emails, and maintaining accurate and organized event files.
  3. Assist in the creation and distribution of event proposals, contracts, and invoices.
  4. Collaborate with various departments within the hotel, including sales, food and beverage, and housekeeping, to ensure seamless execution of events.
  5. Manage event budgets and expenses, ensuring that all costs are accurately tracked and reported.
  6. Coordinate and attend event site visits and walk-throughs with clients, ensuring all details are discussed and finalized.
  7. Maintain strong relationships with clients and ensure their needs and expectations are exceeded.
  8. Handle any guest inquiries or concerns related to catering and events in a prompt and professional manner.
  9. Assist in the coordination and execution of hotel promotions and special events.
  10. Stay up-to-date on industry trends, best practices, and competitor offerings to ensure Hilton Hotels remains a leader in event planning and execution.
  11. Continuously strive to improve processes and procedures to enhance overall efficiency and guest satisfaction.
  12. Serve as a brand ambassador for Hilton Hotels, delivering exceptional customer service and upholding the company's standards and values.

Job Qualifications
  • Experience In Event Planning And Coordination: The Ideal Candidate Should Have At Least 2 Years Of Experience In Planning And Coordinating Events, Preferably In The Hospitality Industry.

  • Knowledge Of Catering And Banquet Operations: A Strong Understanding Of Catering And Banquet Operations Is Essential For This Role, Including Knowledge Of Menu Planning, Food And Beverage Service, And Event Setup.

  • Excellent Communication Skills: The Candidate Should Possess Excellent Verbal And Written Communication Skills, As They Will Be Required To Interact With Clients, Vendors, And Internal Staff On A Regular Basis.

  • Proficiency In Event Management Software: Experience With Event Management Software, Such As Cvent Or Eventbrite, Is Preferred. The Candidate Should Be Able To Use These Tools To Manage Guest Lists, Rsvps, And Event Logistics.

  • Organizational And Time Management Skills: As An Administrative Assistant, The Candidate Should Be Highly Organized And Able To Manage Multiple Tasks And Deadlines. Time Management Skills Are Crucial In Ensuring That Events Run Smoothly And Efficiently.
