Job Description

We are seeking an experienced and highly organized Executive Assistant to join our Legal Affairs team at Henry Ford Health System. As an Executive Assistant, you will provide crucial support to our team of legal professionals, ensuring the smooth operation of our department.   1. Provide direct administrative support to the Legal Affairs team, including managing calendars, scheduling appointments, and coordinating meetings.
  2. Act as a liaison between the Legal Affairs team and other departments, as well as external partners and clients.
  3. Prepare and proofread legal documents, presentations, and correspondence, ensuring accuracy and attention to detail.
  4. Maintain confidential and sensitive information with the utmost discretion and professionalism.
  5. Manage and prioritize incoming communications, including emails, phone calls, and mail, and respond or redirect as necessary.
  6. Prepare and submit expense reports, track department budgets, and process invoices and payments.
  7. Coordinate travel arrangements and accommodations for the Legal Affairs team, including flights, accommodations, and transportation.
  8. Conduct research and compile information as requested by the Legal Affairs team, utilizing various resources and tools.
  9. Organize and maintain physical and electronic files, ensuring easy access and proper documentation.
  10. Participate in team meetings and take minutes, as well as follow up on action items and deadlines.
  11. Assist with onboarding new team members, including coordinating orientation and training.
  12. Continuously seek opportunities to improve and streamline processes and procedures within the Legal Affairs department.
  13. Provide support for special projects and events as needed.
  14. Maintain a positive and professional demeanor at all times, representing the Legal Affairs team and Henry Ford Health System with integrity and excellence.
  15. Keep up-to-date with industry trends and developments to help support the Legal Affairs team in making strategic decisions.

Job Qualifications
  • Bachelor's Degree In Legal Studies, Business Administration, Or Related Field

  • Minimum Of 5 Years Experience In A Legal Setting, Preferably In A Healthcare Environment

  • Strong Knowledge Of Legal Terminology And Procedures, Including Contract Review And Real Estate Transactions

  • Excellent Communication Skills, Both Written And Verbal, With The Ability To Effectively Interact With Executives, Attorneys, And Other Stakeholders

  • Proficiency In Microsoft Office And Legal Document Management Software, Such As Lexisnexis Or Westlaw
