
Operations Administrative Assistant

Responsibilities:
- Greet clients and visitors in a friendly and professional manner, creating a positive first impression of the company.
- Answer phone calls and direct them to the appropriate person or department.
- Manage the reception area, ensuring that it is organized and well-maintained.
- Schedule appointments and maintain the office calendar.
- Provide administrative support to the management team and staff, including typing, filing, and data entry.
- Keep track of office supplies and order new supplies as needed.
- Prepare and distribute memos, emails, and other internal communications.
- Assist with onboarding new employees, including completing paperwork and coordinating orientation.
- Coordinate and schedule meetings, conference calls, and travel arrangements for staff.
- Handle incoming and outgoing mail, including sorting, distributing, and sending out packages.
- Maintain a clean and organized office environment.
- Collaborate with other departments to ensure smooth operations and efficient communication.
- Assist with special projects and events as needed.
- Maintain confidentiality of sensitive information and handle it with utmost discretion.
- Continuously seek ways to improve processes and procedures to enhance office efficiency.
- Perform other duties as assigned by the management team.
Proficient In Microsoft Office Suite: The Ideal Candidate Should Have Strong Computer Skills And Be Able To Efficiently Navigate And Utilize Microsoft Office Programs Such As Word, Excel, And Outlook.
Excellent Organizational And Time Management Skills: As An Operations Administrative Assistant, It Is Important To Be Able To Multitask And Prioritize Tasks Effectively. The Candidate Should Be Detail-Oriented And Able To Meet Deadlines In A Fast-Paced Environment.
Strong Communication And Interpersonal Skills: This Role Involves Interacting With Clients, Colleagues, And Management On A Daily Basis. The Candidate Should Have Excellent Communication Skills, Both Written And Verbal, And Be Able To Maintain A Professional Demeanor At All Times.
Experience In Administrative Support: Previous Experience In An Administrative Or Clerical Role Is Preferred For This Position. The Candidate Should Be Familiar With General Office Procedures, Including Data Entry, Filing, And Record Keeping.
Ability To Maintain Confidentiality: As An Operations Administrative Assistant, The Candidate May Have Access To Sensitive Information And Must Be Able To Maintain Confidentiality At All Times. This Includes Handling Confidential Client Information And Following Company Policies And Procedures Regarding Data Privacy.
