- Greet and welcome clients and guests in a friendly and professional manner.
- Answer and direct incoming phone calls and emails to the appropriate departments or individuals.
- Maintain a neat and organized reception area, ensuring it is presentable at all times.
- Coordinate and schedule appointments and meetings for clients and staff.
- Provide accurate and timely information to clients and guests, both in person and over the phone.
- Assist with administrative tasks such as filing, data entry, and managing office supplies.
- Handle client inquiries and complaints, and escalate issues to the appropriate parties as needed.
- Communicate effectively with all levels of staff, clients, and guests.
- Maintain confidentiality of sensitive information and handle it with discretion.
- Collaborate with other team members to ensure smooth workflow and provide support as needed.
- Adhere to company policies and procedures, including safety and security protocols.
- Continuously strive to provide exceptional customer service and make a positive first impression for the company.
- Keep track of visitor logs and manage security protocols for guests.
- Assist with special projects and events as assigned by management.
- Stay updated on company products, services, and policies to accurately answer client inquiries.
Excellent Communication Skills: A Receptionist At First American Should Possess Strong Verbal And Written Communication Skills To Effectively Interact With Clients, Employees, And Other Stakeholders.
Proficient In Computer Skills: The Job Of A Receptionist Involves Managing Calls, Scheduling Appointments, And Maintaining Records. Therefore, Proficiency In Computer Skills, Including Knowledge Of Microsoft Office And Other Relevant Software, Is Essential.
Strong Organizational Skills: The Ability To Multitask And Prioritize Tasks Is Crucial For A Receptionist. They Should Be Able To Handle A High Volume Of Calls, Greet Visitors, And Perform Administrative Duties Efficiently.
Professional Demeanor: As The First Point Of Contact For Clients And Visitors, A Receptionist At First American Should Have A Professional And Friendly Demeanor. They Should Be Able To Maintain Composure In Stressful Situations And Handle Difficult Or Irate Clients With Tact And Diplomacy.
