1. Operate the switchboard and answer incoming calls in a professional and courteous manner.
2. Direct calls to the appropriate department or personnel in a timely and efficient manner.
3. Take accurate and detailed messages when necessary and ensure they are delivered to the intended recipient.
4. Maintain a log of all incoming and outgoing calls to track call volume and assist with call management.
5. Provide excellent customer service to patients, employees, and external callers.
6. Respond to inquiries and provide information about the organization and its services.
7. Assist with scheduling appointments and coordinating patient referrals.
8. Handle emergency calls and follow proper protocol for escalation.
9. Maintain confidentiality when handling sensitive information and adhere to HIPAA regulations.
10. Troubleshoot any technical issues with the phone system and report any malfunctions.
11. Collaborate with other departments to ensure effective communication and provide support as needed.
12. Keep the reception area clean and organized.
13. Assist with administrative tasks such as filing, data entry, and correspondence.
14. Stay updated on company policies, procedures, and services to provide accurate and up-to-date information to callers.
15. Attend training sessions and meetings to improve skills and stay updated on best practices.
16. Follow protocols and guidelines for proper call handling and escalate any issues or concerns to the appropriate supervisor.
17. Maintain a positive and professional attitude at all times, especially during peak call volume.
18. Assist with special projects and tasks as assigned by the supervisor.
