Job Description

Welcome to the Duke University Athletics Department! We are currently seeking a highly organized and proactive individual to join our team as the Administrative Assistant to the Head Coach/Operations Coordinator. In this role, you will have the opportunity to support the Head Coach in all administrative and operational tasks, while also playing a key role in the overall success of our program. Our ideal candidate is a dedicated and efficient multitasker, with a passion for sports and a strong attention to detail.   1. Provide administrative support to the Head Coach and Operations Coordinator in all areas of the Duke University Athletics Department.
  2. Manage calendars, schedule meetings, and coordinate travel arrangements for the Head Coach and team.
  3. Maintain and organize important documents and records, including player information, team schedules, and budget reports.
  4. Act as a liaison between the Head Coach and other departments within the university, as well as external organizations.
  5. Assist with the planning and execution of team events, including practices, games, and team building activities.
  6. Monitor and manage the team's budget, including processing invoices and tracking expenses.
  7. Communicate important information and updates to team members and staff.
  8. Manage equipment and supply inventory, ensuring that all necessary items are available for practices and games.
  9. Assist in recruiting efforts by coordinating campus visits and communicating with prospective student-athletes.
  10. Handle administrative tasks related to compliance with NCAA rules and regulations.
  11. Maintain a positive and professional demeanor when interacting with team members, staff, and external contacts.
  12. Continuously seek ways to improve processes and procedures in order to enhance the efficiency of the department.
  13. Keep up-to-date with industry trends and best practices to contribute to the overall success of the program.
  14. Display a strong understanding and commitment to Duke University's mission and values, as well as the athletics department's goals and objectives.
  15. Embrace the fast-paced and dynamic nature of the role and be willing to take on additional responsibilities as needed.

Job Qualifications
  • Bachelor's Degree In Sports Management, Business Administration, Or A Related Field.

  • Prior Experience Working In A Collegiate Or Professional Sports Environment.

  • Strong Organizational And Time Management Skills, With The Ability To Handle Multiple Tasks And Priorities.

  • Excellent Communication And Interpersonal Skills, With The Ability To Effectively Interact With Coaches, Staff, And Student-Athletes.

  • Proficiency In Microsoft Office And Other Relevant Software Programs, As Well As The Ability To Learn And Adapt To New Technology And Systems.
