We are currently seeking a highly organized and detail-oriented Executive Administrative Assistant to support the Vice President and Associate Dean of our institution.   1. Provide administrative support to the Vice President and Associate Dean, including managing their calendars, scheduling meetings and appointments, and arranging travel arrangements.
  2. Serve as a liaison between the Vice President and Associate Dean and other departments and external partners, maintaining professional and effective communication at all times.
  3. Prepare and edit correspondence, reports, and presentations for the Vice President and Associate Dean, ensuring accuracy and attention to detail.
  4. Coordinate and organize internal and external meetings and events, including logistics, materials, and follow-up actions.
  5. Conduct research and gather information as needed for projects and initiatives led by the Vice President and Associate Dean.
  6. Manage and maintain confidential and sensitive information, exercising discretion and professionalism at all times.
  7. Develop and maintain efficient filing systems and databases to ensure easy access to important documents and information.
  8. Collaborate with other administrative staff to ensure smooth and efficient operations within the department.
  9. Act as an ambassador for the organization, providing exceptional customer service to all visitors, employees, and stakeholders.
  10. Continuously seek opportunities to improve processes and procedures to increase efficiency and productivity within the department.
  11. Keep up-to-date with industry trends and developments, and share relevant information with the Vice President and Associate Dean as needed.
  12. Handle any ad-hoc tasks and projects as assigned by the Vice President and Associate Dean.

Job Qualifications
  • Bachelor's Degree In Business Administration, Healthcare Management, Or A Related Field.

  • Minimum Of 5 Years Of Experience In A High-Level Administrative Support Role, Preferably In A Healthcare Or Academic Setting.

  • Excellent Organizational And Time-Management Skills, With The Ability To Prioritize Tasks And Meet Deadlines.

  • Strong Communication And Interpersonal Skills, With The Ability To Interact With Individuals At All Levels Of The Organization.

  • Proficiency In Microsoft Office And Other Relevant Software Programs, With A Demonstrated Ability To Learn New Technology Quickly.
