Job Description

Douglas Elliman is searching for an Office Coordinator to join our team and help maintain the smooth day-to-day running of our office. This is an opportunity to be part of a rapidly growing organization and provide critical support to our staff and clients.The ideal candidate will have excellent organizational and communication skills, be highly proficient in Microsoft Office, and possess a friendly, professional demeanor. Our Office Coordinator must have a knack for multitasking and be able to juggle multiple tasks in a fast-paced environment with grace and efficiency. Above all, we are looking for someone who shares our commitment to providing exceptional customer service and is passionate about helping us achieve our goals.

Responsibilities:

  1. Manage the day-to-day activities of the office, including but not limited to answering phone calls, taking messages, scheduling appointments, and greeting guests.
  2. Ensure that office supplies are stocked and that the office is clean and presentable at all times.
  3. Provide administrative support to staff, including preparing documents, filing, and organizing documents.
  4. Provide excellent customer service and maintain a professional demeanor when interacting with clients and colleagues.
  5. Maintain a high level of proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  6. Manage multiple tasks quickly and efficiently, while maintaining a high level of accuracy.
  7. Implement organizational procedures and processes to ensure the smooth running of the office.
  8. Monitor and respond to emails in a timely manner.
  9. Participate in team meetings and provide input regarding office management and organization.
  10. Assist with special projects and other duties as assigned.
