Job Description

Baptist Health in Kentucky is seeking a detail-oriented and highly organized individual to join our team as an Administrative Assistant for our Outpatient Physical Therapy department. As an Administrative Assistant, you will play a crucial role in ensuring the smooth and efficient operation of our outpatient therapy services.   1. Provide administrative support to the Outpatient Physical Therapy department, including but not limited to scheduling appointments, managing client records, and maintaining inventory of supplies.
  2. Ensure the smooth and efficient operation of the department by managing daily administrative tasks, such as answering phone calls and responding to emails.
  3. Maintain confidentiality of sensitive information and handle all client information in a professional and discreet manner.
  4. Coordinate and schedule appointments for patients, ensuring that all necessary information and documentation is completed accurately and in a timely manner.
  5. Communicate with patients, healthcare providers, and insurance companies to obtain necessary information and ensure that all necessary paperwork is completed.
  6. Assist with billing and insurance processes, including verifying insurance coverage and submitting claims.
  7. Maintain organization and cleanliness of the department, including managing and ordering supplies and equipment.
  8. Act as a liaison between the department and other departments within the organization, as well as with external partners, to ensure effective communication and collaboration.
  9. Provide support to therapists and other staff members, including preparing documents, reports, and presentations.
  10. Demonstrate a high level of professionalism and customer service in all interactions with patients, visitors, and staff members.
  11. Proactively identify and address any issues or concerns that may arise in the department, and escalate to management as needed.
  12. Stay up-to-date on all departmental policies, procedures, and regulations, and ensure compliance at all times.
  13. Participate in departmental meetings and training sessions to stay informed and contribute to the improvement of processes and procedures.
  14. Perform other duties as assigned by the department manager or supervisor.

Job Qualifications
  • Proficiency In Office Software And Computer Skills - The Ideal Candidate Should Possess Strong Skills In Microsoft Office Suite, Including Word, Excel, And Outlook. They Should Also Be Comfortable With Data Entry, Scheduling Appointments, And Managing Electronic Medical Records.

  • Excellent Communication And Interpersonal Skills - As An Administrative Assistant In An Outpatient Physical Therapy Setting, The Candidate Will Be Required To Interact With Patients, Therapists, And Other Medical Professionals On A Daily Basis. They Should Have Strong Verbal And Written Communication Skills And Be Able To Maintain A Professional Demeanor At All Times.

  • Organizational And Time-Management Skills - The Ability To Multitask, Prioritize Tasks, And Manage Time Effectively Is Crucial For Success In This Role. The Candidate Should Be Able To Handle A High Volume Of Administrative Tasks While Maintaining Attention To Detail And Meeting Deadlines.

  • Knowledge Of Medical Terminology And Billing Procedures - While Not A Requirement, Previous Experience In A Healthcare Setting Or Knowledge Of Medical Terminology And Billing Procedures Is A Plus. This Will Help The Candidate Better Understand And Assist With Insurance Claims, Patient Billing, And Other Administrative Tasks Specific To Outpatient Physical Therapy.

  • Ability To Maintain Confidentiality And Adhere To Hipaa Regulations - As An Administrative Assistant At Baptist Health, The Candidate Will Have Access To Sensitive Patient Information And Must Uphold Confidentiality And Privacy Standards. Knowledge Of Hipaa Regulations And The Ability To Maintain Strict Confidentiality Is Essential For This Role.
