Job Description

The University of San Diego's College of Arts and Sciences is seeking an Executive Assistant to support the Dean and Vice Dean in their administrative and academic duties. As the backbone of the College, this role requires a self-starter with excellent communication and time management skills. If you have a strong attention to detail and a dedication to providing top-notch support, we want you on our team!

  1. Provide comprehensive administrative support to the Dean and Vice Dean of the College of Arts and Sciences.
  2. Manage and maintain the Dean and Vice Dean's calendars, scheduling appointments, meetings, and events.
  3. Coordinate and organize travel arrangements, itineraries, and accommodations for the Dean and Vice Dean.
  4. Prepare and proofread correspondence, reports, and other documents on behalf of the Dean and Vice Dean.
  5. Act as a liaison between the Dean and Vice Dean and various departments, faculty, staff, and external stakeholders.
  6. Maintain confidentiality and handle sensitive information with discretion.
  7. Assist in budget management and tracking for the College of Arts and Sciences.
  8. Plan and execute events and meetings, including coordinating logistics, preparing materials, and taking minutes.
  9. Conduct research and gather data to support the Dean and Vice Dean in decision-making processes.
  10. Manage incoming communication and respond to inquiries on behalf of the Dean and Vice Dean.
  11. Act as the point of contact for the College of Arts and Sciences, providing excellent customer service to all stakeholders.
  12. Proactively identify and address any potential scheduling conflicts or issues and offer solutions.
  13. Maintain and update the College of Arts and Sciences website and social media platforms.
  14. Assist with special projects and initiatives as assigned by the Dean and Vice Dean.
  15. Continuously improve and streamline administrative processes to increase efficiency and effectiveness.

Job Qualifications
  • Bachelor's Degree In A Related Field, Such As Business Administration, Communications, Or Liberal Arts.

  • Minimum Of 3-5 Years Of Experience In A Similar Role, Preferably In A Higher Education Setting.

  • Strong Organizational And Time Management Skills, With The Ability To Multitask And Prioritize Tasks Efficiently.

  • Excellent Written And Verbal Communication Skills, With The Ability To Interact Professionally With Diverse Groups Of Individuals, Including Faculty, Staff, Students, And External Stakeholders.

  • Proficiency In Microsoft Office And Other Relevant Software Programs, And A Willingness To Learn New Systems As Needed.
