- Provide administrative support to the Dean of the Eastman School of Music, including managing their schedule, arranging meetings and appointments, and handling correspondence.
- Act as the primary point of contact for the Dean, screening and directing all incoming communication, and responding to inquiries in a professional and timely manner.
- Manage and maintain all administrative records and documents related to the Dean's office, ensuring accuracy and confidentiality.
- Coordinate and organize events and meetings for the Dean, including making travel arrangements, preparing materials, and arranging catering.
- Collaborate with other departments and faculty members to gather information and assist with special projects and initiatives as assigned by the Dean.
- Handle budget and financial responsibilities, including processing expense reports and tracking departmental expenditures.
- Serve as a liaison between the Dean and other university personnel, external organizations, and community members, representing the Dean and the institution in a professional manner.
- Maintain a high level of discretion and confidentiality in handling sensitive information and materials related to the Dean and the institution.
- Proactively identify and anticipate needs of the Dean and the department, and take initiative to complete tasks and projects efficiently.
- Continuously strive to improve and streamline administrative processes and procedures, implementing new systems and tools as needed to increase efficiency and productivity.
Excellent Communication Skills: The Executive Support Administrator Must Possess Strong Written And Verbal Communication Skills In Order To Effectively Communicate With The Dean, Faculty, Staff, And Other Stakeholders.
Organizational Skills: The Candidate Should Have Excellent Organizational Skills To Manage The Dean's Schedule, Coordinate Meetings And Events, And Handle Administrative Tasks Efficiently.
Attention To Detail: The Role Requires A High Level Of Attention To Detail To Ensure Accuracy In Tasks Such As Managing Budgets, Creating Reports, And Maintaining Records.
Interpersonal Skills: The Executive Support Administrator Must Have Strong Interpersonal Skills To Work Collaboratively With The Dean And Other Members Of The University Community, As Well As To Handle Potentially Sensitive Or Difficult Situations.
