We are currently seeking a highly organized and detail-oriented Executive Administrative Coordinator to join our team in a hybrid role.   1. Provide administrative support to the executive leadership team at the University of California, San Diego.
  2. Coordinate and manage schedules, appointments, and travel arrangements for the executive leadership team.
  3. Serve as a point of contact for internal and external stakeholders, including students, staff, faculty, and community members.
  4. Maintain and organize confidential files, records, and documents.
  5. Assist with preparing reports, presentations, and other materials for meetings and events.
  6. Coordinate and facilitate virtual and in-person meetings, including taking notes and distributing meeting minutes.
  7. Collaborate with other administrative staff to ensure smooth operations and efficient communication within the department.
  8. Manage and prioritize multiple tasks and deadlines in a fast-paced and dynamic environment.
  9. Proactively identify and address any issues or concerns that may arise in the course of daily activities.
  10. Contribute to the creation and maintenance of a diverse and inclusive work environment through supporting diversity and inclusion initiatives.
  11. Use excellent communication skills to build and maintain positive relationships with team members, colleagues, and stakeholders.
  12. Stay updated on relevant policies, procedures, and regulations to ensure compliance and efficiency in job duties.
  13. Take initiative to improve processes and procedures to increase efficiency and productivity.
  14. Represent the University of California, San Diego in a professional and welcoming manner.
  15. Contribute to the overall success and positive reputation of the university.

Job Qualifications
  • Bachelor's Degree In Business Administration, Public Administration, Or A Related Field.

  • Minimum Of 3 Years Of Experience In An Executive Administrative Role, Preferably At A University Or Large Organization.

  • Strong Communication And Interpersonal Skills, With The Ability To Interact Professionally With Diverse Stakeholders.

  • Proficiency In Microsoft Office And Other Relevant Software Programs.

  • Excellent Organizational And Time-Management Abilities, With A Track Record Of Successfully Managing Multiple Tasks And Deadlines.
