- Greet and welcome visitors to the State of Oregon office in a friendly and professional manner.
- Answer and direct incoming phone calls, taking accurate messages and forwarding calls as necessary.
- Maintain a clean and organized reception area, ensuring a positive first impression for visitors.
- Receive and distribute incoming mail and packages, as well as preparing outgoing mail and shipments.
- Schedule and coordinate appointments and meetings for staff members.
- Assist with general administrative duties such as filing, data entry, and photocopying.
- Respond to inquiries from the public and provide information about the State of Oregon and its services.
- Collaborate with other departments to ensure efficient communication and coordination.
- Maintain confidentiality of sensitive information and handle it with utmost discretion.
- Handle difficult or irate visitors with tact and professionalism.
- Stay up-to-date on office policies and procedures, and ensure they are followed consistently.
- Proactively identify and address any issues or concerns that may arise at the reception desk.
- Attend staff meetings and participate in professional development opportunities as required.
- Demonstrate a positive and can-do attitude, and act as a team player.
