Welcome to the State of Oregon! We are currently seeking a highly organized and personable individual to join our team as a Receptionist. As the first point of contact for our office, the ideal candidate will possess excellent communication skills and a friendly demeanor.   1. Greet and welcome visitors to the State of Oregon office in a friendly and professional manner.
  2. Answer and direct incoming phone calls, taking accurate messages and forwarding calls as necessary.
  3. Maintain a clean and organized reception area, ensuring a positive first impression for visitors.
  4. Receive and distribute incoming mail and packages, as well as preparing outgoing mail and shipments.
  5. Schedule and coordinate appointments and meetings for staff members.
  6. Assist with general administrative duties such as filing, data entry, and photocopying.
  7. Respond to inquiries from the public and provide information about the State of Oregon and its services.
  8. Collaborate with other departments to ensure efficient communication and coordination.
  9. Maintain confidentiality of sensitive information and handle it with utmost discretion.
  10. Handle difficult or irate visitors with tact and professionalism.
  11. Stay up-to-date on office policies and procedures, and ensure they are followed consistently.
  12. Proactively identify and address any issues or concerns that may arise at the reception desk.
  13. Attend staff meetings and participate in professional development opportunities as required.
  14. Demonstrate a positive and can-do attitude, and act as a team player.
  15. Continuously strive to provide exceptional customer service and uphold the reputation of the State of Oregon.
