- Greet and welcome visitors, employees, and clients in a professional and friendly manner.
- Answer and direct phone calls, take messages, and respond to inquiries.
- Maintain a clean and organized reception area, ensuring a professional and welcoming atmosphere.
- Monitor and manage office supplies, ordering and restocking as needed.
- Handle incoming and outgoing mail, including sorting, distributing, and processing.
- Manage office calendars and schedule appointments and meetings.
- Coordinate travel arrangements and accommodations for employees.
- Create and maintain electronic and physical filing systems, ensuring confidentiality and security.
- Assist with the preparation of materials for meetings, presentations, and reports.
- Support the onboarding process for new employees, including preparing paperwork and orienting them to office procedures.
- Coordinate and maintain office equipment and technology, troubleshooting issues as needed.
- Collaborate with team members to plan and execute office events and activities.
- Take meeting minutes and maintain accurate records.
- Assist with special projects and tasks as assigned by management.

High School Diploma Or Equivalent: The State Of Minnesota Requires All Office & Admin Specialists To Have A High School Diploma Or Equivalent Education.
Proficiency In Microsoft Office Suite: Candidates Must Have A Strong Working Knowledge Of Microsoft Office Suite, Including Word, Excel, And Outlook.
Excellent Communication Skills: Effective Communication Is Essential For An Office & Admin Specialist, As They Will Be Interacting With Various Departments And Individuals Within The Organization.
Strong Organizational And Time Management Skills: This Role Requires The Ability To Prioritize Tasks And Manage Multiple Projects Simultaneously, While Ensuring Deadlines Are Met.
Experience In Administrative Support: Previous Experience In Providing Administrative Support In An Office Setting Is Preferred, As It Demonstrates An Understanding Of Office Procedures And The Ability To Handle Various Tasks Efficiently.
