We are currently seeking a highly organized and detail-oriented individual to join our team as an FDC-Administrative Assistant I. In this role, you will play a crucial role in providing administrative support to our agency, helping us to fulfill our mission of promoting public safety through effective supervision of offenders.   1. Provide administrative support to the agency, including managing calendars, scheduling appointments, and coordinating meetings.
  2. Maintain accurate records and files, including offender records, agency policies, and other important documents.
  3. Answer phone calls and respond to emails in a timely and professional manner.
  4. Draft and proofread correspondence, reports, and other documents.
  5. Create and maintain spreadsheets, databases, and other electronic files.
  6. Assist with budget management by tracking expenses and preparing financial reports.
  7. Coordinate travel arrangements and process travel reimbursements.
  8. Greet visitors and direct them to the appropriate staff member.
  9. Order and maintain office supplies, ensuring an adequate stock at all times.
  10. Collaborate with team members to ensure efficient and effective workflow.
  11. Follow all agency policies and procedures to maintain confidentiality and security of sensitive information.
  12. Attend meetings and take detailed notes, distribute minutes and follow up on action items.
  13. Conduct research and gather information as needed.
  14. Handle incoming and outgoing mail, including sorting, distributing, and processing.
  15. Assist with special projects and events as assigned.
  16. Serve as a liaison between the agency and other departments, agencies, and the public.
  17. Uphold a positive and professional image of the agency at all times.
  18. Continuously seek opportunities for improvement and suggest ways to streamline processes.
  19. Maintain a clean and organized work environment.
  20. Adhere to all safety regulations and procedures.
