As an Executive Staff Assistant, you will play a vital role in ensuring the smooth operation of our organization by managing administrative tasks and supporting our leadership team.   1. Serve as the first point of contact for the executive staff, welcoming visitors and answering phone calls with professionalism and excellent customer service.
  2. Manage the calendars and schedules of the executive staff, ensuring all appointments and meetings are organized and prioritized effectively.
  3. Coordinate and schedule meetings, including arranging conference rooms, preparing materials, and sending out meeting invitations and reminders.
  4. Keep accurate records and files of important documents, correspondence, and meeting minutes for the executive staff.
  5. Assist with the preparation and distribution of reports, memos, and presentations.
  6. Manage travel arrangements and accommodations for the executive staff, including booking flights, hotels, and rental cars.
  7. Track and process expenses for the executive staff, ensuring timely submission and reconciliation.
  8. Collaborate with other administrative staff to ensure seamless support for the executive team.
  9. Act as a liaison between the executive staff and other departments, staff, and external stakeholders.
  10. Maintain confidentiality and handle sensitive information with discretion.
  11. Proactively identify and address any issues or concerns to ensure the smooth operation of the executive office.
  12. Continuously seek ways to improve processes and procedures to increase efficiency and effectiveness.
  13. Provide administrative support for special projects and events as needed.
  14. Attend meetings and take accurate notes, ensuring all action items and follow-ups are tracked and completed.
  15. Demonstrate a strong commitment to serving the community and upholding the values of the State of Arizona.

Job Qualifications
  • Bachelor's Degree In Business Administration, Public Administration, Or A Related Field.

  • Minimum Of 3 Years Experience In A Senior Administrative Role, Preferably In A Government Agency.

  • Strong Organizational And Time-Management Skills, With The Ability To Prioritize Tasks And Meet Deadlines.

  • Excellent Written And Verbal Communication Skills, With The Ability To Communicate Effectively With All Levels Of Staff And External Stakeholders.

  • Proficient In Microsoft Office Suite And Other Relevant Software Programs.
