
Executive Assistant/Office Manager - College of Arts & Science

- Provide high-level administrative support: The Executive Assistant/Office Manager will be responsible for managing the day-to-day administrative tasks of the Dean's office and providing support to the Dean as needed.
- Manage daily office operations: This role will be responsible for ensuring the smooth and efficient functioning of the office, including managing schedules, coordinating meetings, and handling incoming and outgoing communications.
- Maintain confidentiality: The Executive Assistant/Office Manager must handle all confidential information with discretion and maintain a high level of confidentiality at all times.
- Coordinate meetings and events: This individual will be responsible for scheduling and coordinating meetings and events, including preparing agendas, taking meeting minutes, and making necessary arrangements.
- Communicate with stakeholders: The Executive Assistant/Office Manager will serve as a point of contact for internal and external stakeholders, including faculty, staff, students, and other university departments.
- Organize and maintain records: This role will be responsible for organizing and maintaining records, files, and documents related to the Dean's office and the College of Arts & Science.
- Manage budget and expenses: The Executive Assistant/Office Manager will assist in managing the budget for the Dean's office, including tracking expenses and processing invoices.
- Supervise office staff: This individual will oversee the work of other office staff, including administrative assistants and interns, and provide guidance and support as needed.
- Plan and coordinate travel arrangements: The Executive Assistant/Office Manager will be responsible for making travel arrangements for the Dean and other staff members, including booking flights, hotels, and transportation.
- Contribute to special projects: This role may be involved in special projects and initiatives for the College of Arts & Science, requiring strong project management and organizational skills.
- Stay informed on higher education and arts and sciences: The Executive Assistant/Office Manager will stay up-to-date on trends and developments in higher education, as well as the arts and sciences, to assist in supporting the Dean's work and the college
Bachelor's Degree In A Relevant Field Such As Business Administration, Communications, Or Liberal Arts.
Minimum Of 3-5 Years Of Experience In Office Management Or Executive Assistant Roles, Preferably In A Higher Education Setting.
Strong Organizational And Time-Management Skills, With The Ability To Prioritize And Manage Multiple Tasks And Deadlines.
Excellent Communication And Interpersonal Skills, With The Ability To Interact Professionally With Faculty, Staff, And Students.
Proficiency In Microsoft Office And Other Relevant Software, As Well As Experience With Budget Management And Event Coordination.
