Job Description

Welcome to the Office of the President at New York University! We are currently seeking a highly organized and detail-oriented Events and Operations Administrator to join our team. In this role, you will play a crucial role in supporting the operations and events of the Office of the President, ensuring smooth and efficient functioning.   1. Plan and coordinate all events for the Office of the President, including but not limited to meetings, conferences, and special events.
  2. Create and maintain event timelines, budgets, and vendor contracts to ensure successful execution of events.
  3. Communicate with internal and external stakeholders to gather event requirements and ensure timely and accurate event planning.
  4. Manage all logistical aspects of events, such as venue selection, catering, audiovisual equipment, and transportation.
  5. Coordinate with various departments and teams within the university to ensure seamless event operations and execution.
  6. Develop and maintain relationships with vendors and suppliers to negotiate competitive pricing and secure high-quality services.
  7. Serve as the main point of contact for event-related inquiries and handle all correspondence in a timely and professional manner.
  8. Maintain accurate records of event details, including attendance, expenses, and feedback, to track the success of events and inform future planning.
  9. Support the Office of the President with administrative tasks, such as scheduling meetings, managing calendars, and preparing materials for presentations and events.
  10. Stay current on event industry trends and best practices to continually improve event planning processes and procedures.
  11. Collaborate with team members to brainstorm creative ideas and concepts for events that align with the university's goals and initiatives.
  12. Uphold the university's brand and image by ensuring all events and operations are in line with established guidelines and standards.
  13. Demonstrate a high level of professionalism and discretion when working with sensitive and confidential information.
  14. Take on additional tasks and responsibilities as needed to support the Office of the President and contribute to the overall success of the university.

Job Qualifications
