
Administrative Aide II

- Provide administrative support to the department, including but not limited to answering phone calls and emails, scheduling appointments, and maintaining calendars.
- Assist with the organization and coordination of department events, meetings, and workshops.
- Prepare and distribute departmental communications, such as memos, newsletters, and reports.
- Maintain accurate and up-to-date records, databases, and filing systems.
- Process and track departmental expenses, reimbursements, and invoices.
- Collaborate with other administrative staff to ensure efficient and effective operations.
- Serve as a point of contact for faculty, staff, and students, providing excellent customer service and addressing inquiries and concerns in a timely manner.
- Monitor and order office supplies, equipment, and materials.
- Assist with the hiring and onboarding process for new departmental employees.
- Conduct research and gather data to support departmental projects and initiatives.
- Participate in departmental meetings and take minutes as needed.
- Adhere to university policies and procedures and maintain confidentiality in handling sensitive information.
- Continuously seek opportunities to improve processes and procedures within the department.
- Other duties as assigned by the department supervisor.
Education And Experience: A Bachelor's Degree In Business Administration, Communications, Or A Related Field, And At Least 2 Years Of Experience In Administrative Support Or Office Management Roles.
Communication Skills: Excellent Written And Verbal Communication Skills With The Ability To Effectively Communicate With Diverse Groups Of People, Including Students, Faculty, And Staff.
Organizational Skills: Strong Organizational Skills With The Ability To Prioritize Tasks, Manage Multiple Projects, And Meet Deadlines In A Fast-Paced Environment.
Technology Proficiency: Proficiency In Microsoft Office Suite, Database Management, And Other Relevant Software Programs. Familiarity With Nyu's Enterprise Systems (E.g. Peoplesync, Nyuhome) Is Preferred.
Customer Service Orientation: A Strong Commitment To Providing High-Quality Customer Service To All Stakeholders, Including Internal And External Clients. This Includes Being Approachable, Responsive, And Helpful In All Interactions.
