1. Answer incoming calls and direct them to the appropriate departments or individuals within the organization.
2. Greet and welcome patients, visitors, and staff in a friendly and professional manner.
3. Maintain a high level of customer service by providing accurate and timely information to callers.
4. Utilize multi-line phone systems and other office equipment to efficiently manage incoming calls.
5. Monitor and prioritize incoming calls to ensure urgent matters are addressed promptly.
6. Assist with scheduling appointments and transferring calls to scheduling departments as needed.
7. Update and maintain phone directories and other communication materials.
8. Handle confidential information with discretion and maintain patient privacy at all times.
9. Collaborate with other team members to ensure smooth operations and excellent customer service.
10. Stay up-to-date on organizational policies, procedures, and services to provide accurate information to callers.
11. Assist with other administrative duties as assigned.
12. Adhere to all safety and security protocols to ensure a safe and comfortable environment for patients and staff.
13. Display a positive and professional attitude at all times, reflecting the values and mission of Mayo Clinic.
14. Attend trainings and meetings as required to stay current on department processes and procedures.
